Information for Sponsors - Student Accounts Receivable

Carleton University is pleased to support and work in partnership with students who are being sponsored by third party organization while studying at Carleton University.

While we make every effort to communicate with sponsored students regarding fees and the current status of sponsorship agreements, it is the student’s responsibility to monitor their student account to ensure that all fees are paid and received by Carleton University. The student is responsible to pay any portion of their fees that their sponsor declines to cover.

Student account information is private and confidential and it is necessary for the student to provide consent for a third party, authorizing release of their financial information.

What information does Carleton require from our organization?

We require a copy of the sponsorship agreement. This agreement should contain:

The name of the student being sponsored and their student identification number
Clearly indicate the period of time in which the sponsorship is valid or for which academic terms
An indication of what fees will/will not be covered
Invoicing/contact information
Special invoice instructions (if applicable)
The document also needs to be signed

Whenever possible, please send the agreement in electronic format via email.

What are the deadlines for submitting our agreement?: Ensure that Student Accounts has received your sponsorship agreement prior to the term payment deadlines.

When will you send an invoice?: Carleton University issues invoices after the financial withdraw deadline for the term has passed. This is the date in which the fees are finalized and cannot be changed by the student. Since we issue invoices after the financial withdraw deadline, we do not charge any late fees or interest on sponsored accounts.

How can we remit payment?: Payment instructions are included on the invoice we issue.

Will you charge late or finance charges while awaiting our payment?: Assuming we have an agreement on file, sponsored students will not incur late payment charges while we await their sponsor’s payment. Should a sponsor decline to pay any fees or even choose to remove the sponsorship, late payment charges will apply.

How and when are refunds issued?: Should a sponsored student’s account need to be refunded, we will contact your organization and request further instructions. Refunds are typically sent in the form of a cheque however payments received from international sources will be returned via wire transfer.
