This is where administrators\u2014experts in things like financial reporting and institutional coordination\u2014come in.<\/p>\n<p>In CFICE\u2019s first four years, administrative duties were found to be a bit of a burden, particularly for community partners, who are often already stretched thin for time. In the <a href=\"https:\/\/carleton.ca\/communityfirst\/sector-specific-work\/violence-against-women\/\" target=\"_blank\" rel=\"noopener\">Violence Against Women<\/a> hub, for instance, the academic co-lead took on an administrative role so that the community partner could have more time and energy for hub projects. \u201cAs a senior academic, the academic co-lead was less vulnerable to academic publishing pressures and thus able to take over these kinds of duties without jeopardizing her career,\u201d the year 4 summary report reads.<\/p>\n<p>While that division of duties worked in some ways, there were also challenges. Administrators have \u201cthe ability to tie those things together\u201d and to \u201ckeep communication going,\u201d Harrison said.<\/p>\n<p>In addition to her role as the CFICE Project Administrator, Harrison wears many other administrative hats, including being the administrator for the <a href=\"https:\/\/carleton.ca\/3ci\/\" target=\"_blank\" rel=\"noopener\">Carleton Centre for Community Innovation<\/a>, (which houses the CFICE project).<\/p>\n<p>Harrison uses her skills to:<\/p>\n<ul>\n<li>Ensure CFICE is in compliance with the funder<\/li>\n<li>Handle financial reporting<\/li>\n<li>Co-ordinate between institutions<\/li>\n<li>Handle all project HR needs.<\/li>\n<\/ul>\n<p>Needless to say, the CFICE project would not be where it is today without her involvement.<\/p>\n<p>Harrison, who is well-versed in the requirements of both the university and of the project funder, says the most important function of her position is \u201censuring the project team has the best information for decision making. There\u2019s a lot of moving parts in the project, and making sure that people are up to date with what is happening financially can help them make decisions,\u201d she told CFICE.<\/p>\n<p><a href=\"https:\/\/carleton.ca\/communityfirst\/wp-content\/uploads\/Database-Partner_SM.jpg\"><img decoding=\"async\" loading=\"lazy\" class=\"alignleft  wp-image-7653\" src=\"https:\/\/carleton.ca\/communityfirst\/wp-content\/uploads\/Database-Partner_SM-400x266.jpg\" alt=\"\" width=\"335\" height=\"223\" srcset=\"https:\/\/carleton.ca\/communityfirst\/wp-content\/uploads\/Database-Partner_SM-400x266.jpg 400w, https:\/\/carleton.ca\/communityfirst\/wp-content\/uploads\/Database-Partner_SM-160x106.jpg 160w, https:\/\/carleton.ca\/communityfirst\/wp-content\/uploads\/Database-Partner_SM-240x159.jpg 240w, https:\/\/carleton.ca\/communityfirst\/wp-content\/uploads\/Database-Partner_SM-768x510.jpg 768w, https:\/\/carleton.ca\/communityfirst\/wp-content\/uploads\/Database-Partner_SM.jpg 800w, https:\/\/carleton.ca\/communityfirst\/wp-content\/uploads\/Database-Partner_SM-360x239.jpg 360w\" sizes=\"(max-width: 335px) 100vw, 335px\" \/><\/a>In addition to navigating bureaucracy and policy, a good administrator approaches a project with flexibility, patience, empathy and diplomacy.<\/p>\n<p>\u201cYou\u2019re in the middle dealing with people who have problems, and people who you\u2019re trying to help resolve their issues. You\u2019re sort of like the broker in that sense,\u201d Harrison said. \u201cIt\u2019s important to understand the constraints and limitations that people are dealing with\u201d in order to best help them, she added.<\/p>\n<p>While a good administrator can benefit a project\u2019s capacity building, decision making, and general organization, project leaders can also take steps to effectively work with the administrator, maximizing her skills to the best of their ability.<\/p>\n<p>Harrison says one important way to do this is to remember to involve your administrator early on in discussions, and to always advise them of what your plans are. That way, the administrator has the opportunity to guide the project leaders through the system, rather than trying to problem solve when it might already be too late.<\/p>\n<p>\u201cI think it\u2019s important to remember that the administrator is on their side and that the administrator works for the project. I think there\u2019s the perception that sometimes the administrator works for the university,\u201d Harrison says, often because the administrator is put into the position of advising on what restrictions or limitations a project must adhere to, per university or funder policy, for instance.<\/p>\n<p><a href=\"https:\/\/carleton.ca\/communityfirst\/wp-content\/uploads\/lightbulb-2692247_1280-e1528292129729.jpg\"><img decoding=\"async\" loading=\"lazy\" class=\"alignright size-medium wp-image-7520\" src=\"https:\/\/carleton.ca\/communityfirst\/wp-content\/uploads\/lightbulb-2692247_1280-240x230.jpg\" alt=\"A cartoon of a lit lightbulb drawn on a yellow sticky note pinned to a cork board.\" width=\"240\" height=\"230\" \/><\/a>But, while administrators cannot change the policies, they are experts in problem solving.<\/p>\n<p>\u201cOne of the key principles that I try to keep in mind, is the attitude of \u2018how can we do this?\u2019 Quite often when dealing with an institution the answers are \u2018you can\u2019t do that.\u2019 So finding a way to do things is really important,\u201d Harrison adds.<\/p>\n<p>While hiring an administrator might seem like an added cost to your project, they really can save time, resources, and add to your capacity in the community.<\/p>\n<p>Try building in the cost of an administrator into your funding proposal to begin with.
