The grades page in cuLearn allows instructors and TAs to import or export their students’ grades to/from cuLearn to an Excel file that can be saved or processed outside of cuLearn.  The cuLearn gradebook provides Instructors/TAs with the following options:

  • Pasting Grades
  • Importing Grades
  • Exporting Grades
  • Exporting Grades as a Letter Grade

Pasting Grades

Instructors can transfer grades from an Excel spreadsheet or .csv file by pasting the grades directly into the cuLearn gradebook. To do so, the Excel file must match the cuLearn gradebook grade column organization as closely as possible.

To copy data from Excel:

  1. Open the Excel spreadsheet containing your grades.
  2. In your Excel file, click and drag to select the grades data.
    • NOTE: Do not select the header information for the columns.
  3. Right click and select copy.  Your grades are now ready to paste into cuLearn.

To paste data into cuLearn:

  1. Login to your cuLearn course.
  2. Click the Grades link in the navigation drawer.
  3. Click the Import tab.
  4. Click the Paste from spreadsheet tab in your cuLearn gradebook. 
  5. In your Excel file, highlight and copy the columns you want to paste into cuLearn.
  6. Go back to your cuLearn gradebook and paste your copied Excel columns in the box marked “Data”.

NOTE: The information will appear jumbled and out of alignment–that’s normal, and there’s no need to fix it!

7.  Click Upload grades (the blue button on the bottom of the page).  See the screen shot for a visual of the Paste from Spreadsheet screen and Upload button.

8. You will be brought to a new, import preview screen.  Verify that the information you’ve pasted is correct, then proceed with your upload.

9. Map the pasted grades to the students listed in your grade book.

  • In the “Map from” drop down menu, select Student ID.
  • In the “Map to” drop down menu, select Student ID.
    • NOTE: Both boxes must have the same value (i.e., both are Student ID)

NOTE: By default, the system ignores imported columns unless you tell it otherwise.  This is a safety precaution to prevent users from accidentally overwriting all of their data.

10. Click Upload grades when finished.

Importing Grades

You can import grades that you have saved in a .csv (Excel spreadsheet) file into cuLearn gradebook. Importing grades is useful for scantron results or grading you have done outside of cuLearn.

To Import Grades:

  1. Open the Excel spreadsheet containing your grades.
  2. Save it as .csv (comma delimited) file.
  3. From your cuLearn gradebook, click the Import tab.
  4. Click Choose a file to locate the .csv file you want to import from your computer. You can also drag the .csv file to the blue arrow.  
  5. Click Upload Grades.
  6. You will now need to do two things:

a) In the “Map from” drop down menu, select Student ID.

b) In the “Map to” drop down menu, select Student ID. *Both boxes must have the same value (i.e., both should be set to Student ID)

NOTE: most problems relating to importing grades occur during this step.

7. Select the columns that you want to import and set whether they become new columns (“new grade item”) or if the grades will be imported into an existing column you have already created in gradebook.  If you have already created a column in your gradebook (by adding a new grade item prior to beginning the import process), select the column name from the drop-down menu.

Exporting Grades

Exported grades can be used to create an Excel (.csv) file to save as a backup gradebook or to submit final grades.

To export grades:

  1. Go to the Grades page in the course you want to export grades from.
  2. Click the Export tab.
  3. Choose either Excel spreadsheet or Plain Text File from the four options below the Export tab. See the screen shot of the Export to Excel Spreadsheet window and the Export tab. 
  4. Click on the desired file type for the export file under Export format options menu.
  5. Select the grade items you want to export from the Grade items to be included menu.
  6. Click Download.

Depending on the browser used,  the new file will either be opened or the browser will ask what to do with the exported file.

To change how students see their grades:

As instructor, you can choose what students can see in their grade report, such as the class average.

  1. In the Setup tab, click Course Grade Settings.
  2. Under User Report, select the desired options for the items you want to show in the user report and the items you want to keep hidden.
  3. Click Save Changes when you are done.

Exporting Grades as a Letter Grade

  1. Click Grades in the navigation drawer of the course you want to export grades from.
  2. Click the Export tab.
  3. Choose Excel spreadsheet or Plain Text File from the four options below the Export tab.
  4. Under the Export format options menu change the Grade export display types to Letter.
  5. Select the grade items you want to export from the Grade items to be included menu.
  6. Click Download.
