My name is Douglas Saunders (Financial Systems Support Specialist).\u00a0 As part of my job, I answer questions about approvals in the Travel and Expense system.\u00a0 I often receive questions about approving claims in the Travel and Expense system.<\/p>\n

Have you ever actioned (e.g. approved or refused) a claim, only to receive an email reminder that you still have to action the very same claim?\u00a0 If yes, then this is the tip for you \u2026<\/strong><\/p>\n

To action a claim, follow the following steps \u2026<\/strong><\/p>\n

    \n
  1. From the email you receive, click on the \u2018Travel and Expense System\u2019 hyperlink to review the detailed travel claim.<\/li>\n
  2. Enter comments if you are returning the claim to the claimant or delegate for correction or if you are denying the claim.<\/li>\n
  3. To action the claim, click on the \u2018complete\u2019 button after you have\n
      \n
    1. completed your review,<\/li>\n
    2. selected an \u2018approval status option\u2019, and<\/li>\n
    3. added comments if applicable.<\/li>\n<\/ol>\n<\/li>\n
    4. In general, do not click the \u2018save and close button\u2019. All it does is save any data that you have entered.\u00a0 It does not complete the step.\u00a0 Or in other words, the claim will not move to the next processing step.<\/li>\n<\/ol>\n

      Why is this important?<\/strong><\/p>\n

        \n
      1. Approvers want to know how to see the full claim (#1 above)<\/li>\n
      2. Approvers often think they\u2019ve actioned the claim, but have just saved it and so keep getting reminders (#3 and #4)<\/li>\n<\/ol>\n

        Note about double clicking:<\/strong><\/p>\n

        If you double click on the \u2018complete\u2019 button (#3 above) the system will action and then try to action again based on the 2nd<\/sup> click.\u00a0 At which point an error (Stating the work item can no longer be reserved) may be generated but the claim was already actioned and no further action is needed from you.<\/p>\n
