June Finance and Administration Newsletter

Message from Vice-President Lorraine Dyke

Thank you to everyone who was able to join me for my first Coffee Hour on June 1.

I wanted to provide a summary of what was covered in my presentation, for those who were unable to join us.

There are many things happening across the F&A division but I did touch on four major initiatives including:

  1. The Campus Master Plan: The Campus Master Plan is the long-term vision for the physical campus. It is updated every five years to ensure it aligns with the Strategic Integrated Plan (SIP), and the Outdoor Space Master Plan. A cross-institutional Steering Committee was formed to help guide the work that the consultant (Brook McIlroy) is doing. We are currently in the consultation phase. The updated Campus Master Plan is expected at the end of 2022.
  2. The Digital Strategy and Roadmap: This is the first-ever Digital Strategy for Carleton. This has been a collaborative effort led by a working group chaired by Marc Dabros, CIO, David Hornsby, AVP (Teaching and Learning Services) and Nancy Arnold, Director (OQI), as well as a cross-institutional Advisory Committee. We are in the final consultation phase. More than 600 people and organizations participated in the process. The three contributions of the Digital Strategy are: improved governance, a process of renewal to ensure the implementation of the strategy remains relevant, and a shift to a more digital culture. The Roadmap outlines the details about how the strategy will be implemented. It will be launched in fall 2022.
  3. Major IT Projects Impacting F&A: These include the Enterprise Resource Planning Business Case review; the Maximo upgrade to modernize FMP processes; implementing the new Emergency Notification System (ENS), as well as ongoing IT infrastructure work to modernize our servers, data centres and networks. These are some of the key collaborative IT projects that will have a positive impact not only in the division but across the university. These projects involve ITS and partner departments including HR, Finance, Students & Enrolment, FMP, and the Office of Risk Management. Work is ongoing on these projects.
  4. Flexible Work Arrangements (FWAs): As more students, staff and faculty return to campus, our modes of working throughout the pandemic may no longer be appropriate. The Flexible Work Arrangements Working Group held 22 consultations with 400 participants before developing our new policy. The purpose of the policy is to provide managers and employees with guidance on how to deal with flexible work requests. Information sessions for employees and managers have been held with an estimated 1,000 attendees. The policy comes into effect July 1, 2022.

In addition to the above initiatives, I also shared that the F&A leadership team has identified three divisional priorities for 2022-23:

  • A new F&A Strategic Plan
  • Expanded engagement with stakeholders
  • Enhanced communications

In the fall, all F&A staff will be involved in the development of our division’s strategic plan so stay tuned, there will be more to come on that at the end of the summer.

I hope that gives you a flavour for what I covered in my presentation at Coffee Hour. I look forward to the next Coffee Hour and, hopefully, being able to do it in person.

News

June is National Indigenous History Month and Pride Month.

Tunnels Reopen: Carleton’s tunnel system is reopening on June 13. New exhaust fans and air handling units have been installed throughout the entire tunnel system. Thanks to the team in Facilities Management and Planning for all their hard work on this project.

Convocation: This year, Carleton is celebrating all grads from 2020, 2021 and 2022 at 40 in-person Convocation ceremonies which begin Monday, June 13 and runs until Friday, June 24. Read more here. Thanks to everyone working to make “super-Convocation” a success.

Strategic Plan for Community Engagement (SP4CE) Progress Report: The Centre for Community Engagement is leading the development of Carleton’s inaugural Strategic Plan for Community Engagement (SP4CE). Along with the SP4CE Task Force, the Centre published a progress report summarizing the themes and ideas that were discussed in the internal consultations. The next step is to consult with the broader community through external consultations this summer. The Strategic Plan for Community Engagement will be released in the fall.

University Policies Update: The Senior Management Committee met on May 25, 2022, and approved the new Disconnecting from Work Policy. This policy complies with the recently enacted Bill 27, Working for Workers Act, 2021, which requires employers to prepare a policy addressing “disconnecting from work.” Visit the University Secretariat website for more details.


Events

Appreciation Week is June 27, 28 and 29: We will be celebrating Appreciation Week with three days of fun-filled virtual activities. Check out the events here: Appreciation Week 2022. President Benoit-Antoine Bacon has also announced that June 30 will be a holiday in appreciation for everyone’s exceptional efforts again this year. Employees who need to work on this day to ensure continued operations should discuss an alternative date off with their managers.

Retirement Celebration for Tony Lackey: After 21 years at Carleton, Tony Lackey is retiring. Please join the Office of Risk Management to celebrate Tony in Richcraft Hall on Tuesday, June 28 from 3 to 5 p.m. A formal program will begin at 3:15 p.m., followed by light snacks and refreshments. Masks are mandatory during the event as per Carleton’s COVID-19 Mask Policy. Everyone is welcome!

Let’s Bike Month Activities: Throughout the month of June Sustainability Carleton and Healthy Workplace are partnering to shine a light on all things two-wheeled. Everyone is encouraged to get on their bike and sign up to the Carleton Let’s Bike Team to win prizes and track your cycling progress. You are also invited to an excellent Family Cycling workshop (June 21), where our friends at Envirocentre will let you know about getting the most from cycling with the whole family. We will also have free bike tune-ups available and as a reminder you can also access a Bike Loan program in case you need to buy a bike or want to replace your existing one. Campus Safety Services’ Staff Receive Awards: The Ontario Association of College and University Security Administrators (OACUSA) has awarded Shift Manager Alicia Poole its Emerging Leader Award and Special Constable Jeff Condie with the Outstanding Achievement/Initiative Award for developing the Safe Way Home program, which provides officers an option to get people home safely. Congratulations to Alicia and Jeff.
