This notice is expected to be given to the supervisor two weeks in advance of the thesis submission date which is <strong>December 1<\/strong> fall term, <strong>April 1<\/strong> winter term and <strong>August 1<\/strong> summer term.\u00a0\u00a0<\/span><\/p>\n<p><span style=\"font-size: 11.0pt; font-family: 'Calibri',sans-serif;\">MSc defence – committee must have 3 weeks\u2019 notice prior to the defence and the defence copy of the thesis<br \/>\n<\/span><span style=\"font-size: 11.0pt; font-family: 'Calibri',sans-serif;\">PhD defence – committee must have 6 weeks\u2019 notice prior to the defence and the defence copy of the thesis.<\/span><\/p>\n<p><span style=\"font-size: 11.0pt; font-family: 'Calibri',sans-serif;\">\u00a0<\/span><b><span style=\"font-size: 11.0pt; font-family: 'Calibri',sans-serif;\">A thesis committee comprises of:<\/span><\/b><\/p>\n<p><span style=\"font-size: 11.0pt; font-family: 'Calibri',sans-serif;\">1.\u00a0 Thesis supervisor and co-supervisor (both MSC and PHD)<br \/>\n<\/span><span style=\"font-size: 11.0pt; font-family: 'Calibri',sans-serif;\">2.\u00a0 External Examiner (outside of Carleton University, (<b>only for PhD defence<\/b>)<br \/>\n<\/span><span style=\"font-size: 11.0pt; font-family: 'Calibri',sans-serif;\">3.\u00a0 Internal Examiner (Faculty member from Carleton, outside of department) (<b>only for PhD defence<\/b>)<br \/>\n<\/span><span style=\"font-size: 11.0pt; font-family: 'Calibri',sans-serif;\">4.\u00a0 Member of Department<br \/>\n<\/span><span style=\"font-size: 11.0pt; font-family: 'Calibri',sans-serif;\">5.\u00a0 Member of Joint Institute from Ottawa University<br \/>\n<\/span><span style=\"font-size: 11.0pt; font-family: 'Calibri',sans-serif;\">6.\u00a0 Chair for the defence. (for PhD Defence the chair must be outside our faculty)<\/span><\/p>\n<p><span style=\"font-size: 11.0pt; font-family: 'Calibri',sans-serif;\">\u00a0<\/span><span style=\"font-size: 11.0pt; font-family: 'Calibri',sans-serif;\">In the case of joint programs, the examination board should normally include at least one additional faculty member from the appropriate unit or program at the other university. At the discretion of the academic unit, the presence of the additional faculty member from the other university releases the unit or program from the obligation of placing on the committee one member who is from a Carleton University unit or program outside that of the candidate and who has been at arm\u2019s length from the thesis research.<\/span><\/p>\n<p><span style=\"font-size: 11.0pt; font-family: 'Calibri',sans-serif;\">\u00a0<\/span><i><span style=\"font-size: 11.0pt; font-family: 'Calibri',sans-serif;\">Setup Roles<\/span><\/i><\/p>\n<p><span style=\"font-size: 11.0pt; font-family: 'Calibri',sans-serif;\">\u00a0<\/span><b><span style=\"font-size: 11.0pt; font-family: 'Calibri',sans-serif;\">Graduate Administrator<\/span><\/b><\/p>\n<p><span style=\"font-size: 11.0pt; font-family: 'Calibri',sans-serif;\">1.\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0 Create thesis record<br \/>\n<\/span><span style=\"font-size: 11.0pt; font-family: 'Calibri',sans-serif;\">2.\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0 Generates notices and revised notices of defences<br \/>\n<\/span><span style=\"font-size: 11.0pt; font-family: 'Calibri',sans-serif;\">3.\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0 Authorizes Upload of thesis to student<br \/>\n<\/span><span style=\"font-size: 11.0pt; font-family: 'Calibri',sans-serif;\">4.\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0 Remind external to submit report one week prior to defence.<\/span><\/p>\n<p><span style=\"font-size: 11.0pt; font-family: 'Calibri',sans-serif;\">\u00a0<\/span><b><span style=\"font-size: 11.0pt; font-family: 'Calibri',sans-serif;\">Student<\/span><\/b><\/p>\n<p style=\"margin-left: 36.0pt; text-indent: -36.0pt;\"><span style=\"font-size: 11.0pt; font-family: 'Calibri',sans-serif;\">1.\u00a0 \u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0 Student informs supervisor he\/she is ready to defend thesis and submits an examination copy of the thesis to the supervisor no later than December 1 (fall term), April 1 (winter term) August 1 (summer term)<\/span><\/p>\n<p style=\"margin-left: 36.0pt; text-indent: -36.0pt;\"><span style=\"font-size: 11.0pt; font-family: 'Calibri',sans-serif;\">2.\u00a0 \u00a0 \u00a0 \u00a0 \u00a0 \u00a0Review all agreements and licenses through Carleton central<\/span><\/p>\n<p style=\"margin-left: 36.0pt; text-indent: -36.0pt;\"><span style=\"font-size: 11.0pt; font-family: 'Calibri',sans-serif;\">3.\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0 Uploads examinable thesis copy 3 weeks (MSC) or 6 weeks (PHD) prior to defence date.\u00a0 Delay<br \/>\n<\/span><span style=\"font-size: 11.0pt; font-family: 'Calibri',sans-serif;\">of uploading thesis may result in defence being cancelled.<\/span><\/p>\n<p><span style=\"font-size: 11.0pt; font-family: 'Calibri',sans-serif;\">\u00a0<\/span><i><span style=\"font-size: 11.0pt; font-family: 'Calibri',sans-serif;\">After Defence<\/span><\/i><\/p>\n<p><span style=\"font-size: 11.0pt; font-family: 'Calibri',sans-serif;\">4.\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0 Completes corrections and submits to supervisor for approval.\u00a0<\/span><\/p>\n<p style=\"margin-left: 36.0pt; text-indent: -36.0pt;\"><span style=\"font-size: 11.0pt; font-family: 'Calibri',sans-serif;\">5. \u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0 Once corrections are approved student will receive an email to upload final copy of their thesis, along with all required forms.\u00a0 Student must abide by the deadline dates in the graduate calendar to be eligible for graduation.<\/span><\/p>\n<p><span style=\"font-size: 11.0pt; font-family: 'Calibri',sans-serif;\">\u00a0<\/span><b><span style=\"font-size: 11.0pt; font-family: 'Calibri',sans-serif;\">Thesis Supervisor \u2013 Using Carleton Central<\/span><\/b><\/p>\n<p><i><span style=\"font-size: 11.0pt; font-family: 'Calibri',sans-serif;\">Prior to Defence<\/span><\/i><\/p>\n<ol>\n<li><span style=\"font-size: 11.0pt; font-family: 'Calibri',sans-serif;\">The Thesis Supervisor forms a committee including a chair for a PhD defence, for MSc defences, a chair will be assigned from within\u00a0 our <\/span><span style=\"font-size: 11.0pt; font-family: 'Calibri',sans-serif;\">department.<\/span><\/li>\n<\/ol>\n<p style=\"margin-left: 41.4pt; text-indent: -23.4pt;\"><span style=\"font-size: 11.0pt; font-family: 'Calibri',sans-serif;\">2. <\/span><span style=\"font-size: 11.0pt; font-family: 'Calibri',sans-serif;\">Supervisor sends graduate administrator thesis title, date, time of defence and list of committee members <\/span><span style=\"font-size: 11.0pt; font-family: 'Calibri',sans-serif;\">(including their emails, university\/department, and their role in the defence.\u00a0\u00a0\u00a0\u00a0 Will also need to inform the administrator if the defence is in person\/online\/hybrid.<\/span><\/p>\n<p style=\"margin-left: 36.0pt; text-indent: -36.0pt;\"><span style=\"font-size: 11.0pt; font-family: 'Calibri',sans-serif;\">3.\u00a0 \u00a0 \u00a0 \u00a0 Complete Thesis Supervisors Defence Authorization Form in Carleton central (you will receive an email prompting you).<\/span><\/p>\n<p style=\"margin-left: 36.0pt; text-indent: -36.0pt;\"><span style=\"font-size: 11.0pt; font-family: 'Calibri',sans-serif;\">\u00a0<\/span><i><span style=\"font-size: 11.0pt; font-family: 'Calibri',sans-serif;\">After Defence<\/span><\/i><\/p>\n<p><span style=\"font-size: 11.0pt; font-family: 'Calibri',sans-serif;\">4.\u00a0 Approves corrections and upload of final copy of thesis in Carleton central.
