This coverage is designed to protect individuals and departments while operating both University-owned and rented vehicles for authorized University business.<\/p>\n\n\n                            <\/header>\n\n                    <\/div>\n\n            <\/div>\n\n    <\/div>\n<\/section>\n\n\n\n<p><strong>University Owned Vehicles<\/strong><\/p>\n\n\n\n<p>Vehicles owned by Carleton University are used by various university departments in the completion of their duties and activities. Primarily the Departments of University Safety, Facilities Management &amp; Planning, University Services and several Academic Departments have access to university owned vehicles and therefore management and staff should review this section in detail.<\/p>\n\n\n\n<p>Automobile insurance is legislated by provincial governments in Canada and state governments in the United States of America. Although basic coverages are similar in most jurisdictions in North America, there can be differences in areas such as required legal limits, the right to sue for damages, and methods of determining responsibility in the event of an accident. When driving a Carleton University vehicle out of the Province of Ontario, the user should consult with the Executive Director, Office of Risk Management to determine if there are any specific insurance requirements for the jurisdictions to be traveled in.<\/p>\n\n\n\n<p>In Ontario most insurance coverage is the same whether the vehicle is used for private or commercial purposes. All Carleton University vehicles are subject to coverage as stipulated in the Statutory Ontario Automobile Policy (OAP 1). The University carries the following coverage on its own vehicles:<\/p>\n\n\n\n<p><strong class=\"myprefix-text-bold\">Liability Coverage<\/strong>: Provides coverage to the university and its employees for amounts they are legally responsible to pay for bodily injury and property losses suffered by others as a result of the use and operation of a university owned automobile.<\/p>\n\n\n\n<p><strong class=\"myprefix-text-bold\">Statutory Accident Benefit Coverage:<\/strong> Provides coverage to the driver and\/or passenger(s) of a vehicle for bodily injury arising out of the use and operation of a university vehicle. The benefits are prescribed by statute and are published in the regulations accompanying the Ontario Automobile Insurance Act. Eligibility and amounts payable under this section of the automobile policy are affected by benefits payable by the Workplace Safety and Insurance Board, as well as Carleton University\u2019s employee benefits plan.<\/p>\n\n\n\n<p><strong class=\"myprefix-text-bold\">Uninsured Motorist Coverage:<\/strong> Provides coverage where the at fault vehicle in an accident is uninsured or under insured. Payments are made for bodily injury and property damage for amounts injured parties have been awarded by the courts. The limits of coverage are the limits of the university\u2019s automobile liability insurance.<\/p>\n\n\n\n<p><strong class=\"myprefix-text-bold\">Property Damage \u2013 Direct Compensation:<\/strong> The Automobile Insurance Act of Ontario established the principle of Direct Compensation relating to vehicle damage. Direct Compensation means regardless of fault for an accident, the university\u2019s insurer will pay the cost of damages to the university\u2019s automobile, its equipment, and contents arising from an accident for which another person is responsible.<\/p>\n\n\n\n<p><strong class=\"myprefix-text-bold\">Loss or Damage to Owned Vehicles:<\/strong> Provides coverage for direct and accidental loss of, or damage to a university automobile and its equipment caused by an insured peril such as fire, theft or collision. This coverage is applicable when the driver of the university vehicle is responsible for the accident.<\/p>\n\n\n\n<p><strong>Use of Personal Vehicles<\/strong><\/p>\n\n\n\n<p>The university does not recommend the use of personal vehicles for university related business, unless absolutely unavoidable. If there is no other way other than to use a personal vehicle, it is recommended that anyone using a personal vehicle while conducting duties as an employee, volunteer or student is reminded that it is the individual user\u2019s insurance policy that they have on their vehicle that is the primary coverage for both liability and physical damage.&nbsp;In this case, the individual would also be responsible for any applicable deductible should an accident occur. It is required that individuals using their personal vehicles for university business carry a minimum of $1 million Personal Liability and Property Damage coverage on their vehicle. Our office also recommends that the individuals contact their insurance provider and advise them that they will be utilizing their personal vehicle for work purposes, it best to make sure the insurer is aware so as to classify the vehicle accordingly to make sure that appropriate levels of insurance are in place.&nbsp;<\/p>\n\n\n\n<p><strong>Rental Vehicles<\/strong><\/p>\n\n\n\n<p>When a vehicle is rented or leased for University-related activities, insurance coverage is available through the university&#8217;s automobile insurance policy. To ensure coverage please note the following requirements for rental vehicles:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Rentals must be in the name of the University or the authorized department.<\/li>\n\n\n\n<li>The individual renting must be an employee, faculty member, or an authorized student.<\/li>\n\n\n\n<li>Drivers must be listed and approved in accordance with University driver eligibility guidelines.<\/li>\n<\/ul>\n\n\n\n<p><strong class=\"myprefix-text-bold\">Coverage includes:<\/strong><\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Third-party liability coverage<\/li>\n\n\n\n<li>Collision and loss damage waiver (CDW\/LDW), when not declined<\/li>\n\n\n\n<li>Additional endorsements as required for cross-border travel (e.g., into the U.S.)<\/li>\n<\/ul>\n\n\n\n<p><strong>Driver Eligibility:<\/strong><\/p>\n\n\n\n<p>All individuals operating vehicles for University purposes must:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Hold a valid G-class (or equivalent) driver\u2019s license<\/li>\n\n\n\n<li>Be authorized through the University driver approval process<\/li>\n\n\n\n<li>Complete mandatory driver safety training, where applicable<\/li>\n<\/ul>\n\n\n\n<p>individual(s) need to be added to the university\u2019s insurance policy as additional drivers using the <a href=\"https:\/\/carleton.ca\/riskmanagement\/wp-content\/uploads\/sites\/10\/2025\/11\/Request-to-Add-a-Driver.pdf\">Request To Add <\/a><a href=\"https:\/\/i.carleton.ca\/riskmanagement\/risk-insurance\/risk-and-insurance-forms\/\">Driver Form<\/a><\/p>\n\n\n\n<p><strong>Claims and Incidents<\/strong><\/p>\n\n\n\n<p>In the event of an accident or incident involving a University-owned or rented vehicle, report the situation immediately to:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>Campus Safety Services<\/strong> 613-520-4444<\/li>\n\n\n\n<li><strong>Local authorities<\/strong> (if applicable)<\/li>\n\n\n\n<li><strong>Department of Risk Management<\/strong> 613-262-7431<\/li>\n<\/ul>\n","protected":false},"excerpt":{"rendered":"<p>University Owned Vehicles Vehicles owned by Carleton University are used by various university departments in the completion of their duties and activities.
