Below, we offer some guidance on ways to create accessible PowerPoint presentations.<\/p>\n\n\n\n<p>There are some important issues that should be considered when an instructor or course designer creates PointPoint documents. Some of the basics and common issues are listed below:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Add alternative text to images and objects<\/li>\n\n\n\n<li>Make sure slide content can be read in the order you want<\/li>\n\n\n\n<li>If designing a new slide, use the built-in slide layout<\/li>\n\n\n\n<li>Use hyperlink text that is meaningful<\/li>\n\n\n\n<li>Ensure that colour is not the only means of conveying information (and, when you do use colour, aim for a 3:1 <a href=\"https:\/\/webaim.org\/resources\/contrastchecker\/\" target=\"_blank\" rel=\"noopener noreferrer\">contrast ratio<\/a> or higher)<\/li>\n\n\n\n<li>Give every slide a unique title<\/li>\n\n\n\n<li>Structure tables for easy navigation (simple structure, specify column header information and avoid using blank cells)<\/li>\n\n\n\n<li>Use larger font size (18 pt or larger, sans serif fonts) and sufficient spaces<\/li>\n\n\n\n<li>Avoid using repeated blank characters for formatting<\/li>\n\n\n\n<li>Avoid image watermarks<\/li>\n\n\n\n<li>Include close caption for any audio and video<\/li>\n<\/ul>\n\n\n\n<h2 id=\"add-alternative-text-to-images-and-objects\" class=\"wp-block-heading\">Add alternative text to images and objects<\/h2>\n\n\n\n<p>Alternative text, also known as \u201calt text,\u201d appears when you move your pointer over a picture or object. Alt text helps people who use screen readers to understand the content of images in your document. For many readers, this is the only information they have about the images and objects in your document. Alt text should be included for any of the following objects in your document:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Pictures<\/li>\n\n\n\n<li>Clip Art<\/li>\n\n\n\n<li>Charts<\/li>\n\n\n\n<li>Tables<\/li>\n\n\n\n<li>Shapes (that don\u2019t contain text and are not in groups)<\/li>\n\n\n\n<li>SmartArt graphics<\/li>\n\n\n\n<li>Groups (all objects in this list, with the exception of shapes, should also have alt text when in groups)<\/li>\n\n\n\n<li>Embedded objects<\/li>\n\n\n\n<li>Ink<\/li>\n\n\n\n<li>Video and audio files<\/li>\n<\/ul>\n\n\n\n<p>In the alternative text, you should describe the shape and intent of the picture or object briefly; never copy the image caption instead of providing alt text.<\/p>\n\n\n\n<p><strong>Adding alt text to pictures and graphics<\/strong><\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li>Right-click the image or object, and then click <em>Format <\/em>(for tables, click <em>Table Properties<\/em> or <em>Format Shape<\/em>)<\/li>\n\n\n\n<li>Click <em>Alt Text <\/em>(in PowerPoint 2013 and later, select<em> Size &amp; Properties <\/em>first)<\/li>\n\n\n\n<li>Enter a description of the image or object into the <em>Title<\/em> and <em>Description<\/em> text boxes. Use clear but concise descriptions. For example, if you insert a picture before an object, the screen reader first reads the object and then the inserted picture. So, you should specify the order of the elements in the order that you want.<\/p>\n\n\n\n<p>To set the reading order for PowerPoint documents, take the following steps:<\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li>On the&nbsp;<em>Home <\/em>tab, in the&nbsp;<em>Drawing&nbsp;group<\/em>, select&nbsp;<em>Arrange<\/em>, and then choose&nbsp;<em>Selection Pane<\/em>.<br><br>The selection pane lists the objects on the slide in reverse order. For this reason, it\u2019s a good idea to use PowerPoint\u2019s built-in slide templates.<\/p>\n\n\n\n<p>To use built-in slides, take the following steps:<\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li>On the&nbsp;<em>Home <\/em>tab, click <em>Normal<\/em>.<\/li>\n\n\n\n<li>In the&nbsp;<em>Thumbnail <\/em>pane, locate the place where you want to add the new slide. Right-click and select <em>New Slide<\/em>. Click the new slide to select it.<\/li>\n\n\n\n<li>On the&nbsp;<em>Home <\/em>tab, click&nbsp;<em>Layout<\/em>&nbsp;to open the gallery, and select the slide layout that you want. PowerPoint automatically applies this layout to the new slide.<\/li>\n\n\n\n<li>Go to the new slide, and add the title and content that you want.<\/li>\n<\/ol>\n\n\n\n<h2 id=\"use-meaningful-hyperlink-text\" class=\"wp-block-heading\">Use meaningful hyperlink text<\/h2>\n\n\n\n<p>Hyperlink text should provide a clear description of the link destination rather than writing out the complete URL or writing &#8220;click here.&#8221;<\/p>\n\n\n\n<p>To add a hyperlink to your presentation, take the following steps:<\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li>Select the text to which you want to add the hyperlink, and then right-click.<\/li>\n\n\n\n<li>Select <em>Hyperlink<\/em>. The text you selected displays in the <em>Text to Display<\/em> section. So, you should add an alternative sign to convey the meaning of your text. For example, you can add an underline to your coloured text so that people with a visual impairment can access the meaning you intended to convey.<\/p>\n\n\n\n<p>Note: To be sure that the colour you are using is accessible with appropriate contrast, you can use Microsoft Office themes instead of creating a custom theme. With a screen reader, they can easily skim all the slide titles and select the slide that they want.<\/p>\n\n\n\n<p>To create slide titles, take the following steps:<\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li>To restore all placeholders for the selected slide, on the&nbsp;<em>Home <\/em>tab, in the&nbsp;<em>Slides<\/em>&nbsp;group, select&nbsp;<em>Reset<\/em>.<\/li>\n\n\n\n<li>On the slide, in the&nbsp;<em>Title <\/em>box, type a unique name.<\/li>\n<\/ol>\n\n\n\n<h2 id=\"structure-tables-for-easy-navigation\" class=\"wp-block-heading\">Structure tables for easy navigation<\/h2>\n\n\n\n<p>Screen readers keep track of their location in a table by counting table cells. If a table is nested within another table or if a cell is merged or split, the screen reader loses count and can\u2019t provide helpful information about the table after that point. They often see text merge or distort.\u201d \u00b9<\/p>\n\n\n\n<p>Note: For people who have dyslexia or have low vision, reduce the reading load. For example, they might benefit from familiar sans serif fonts, such as Arial or Calibri. Avoid using all capital letters and excessive italics or underlines. Include ample white space between sentences and paragraphs.<\/p>\n\n\n\n<h2 id=\"avoid-repeated-blank-characters\" class=\"wp-block-heading\">Avoid repeated blank characters<\/h2>\n\n\n\n<p>Extra spaces, tabs and empty paragraphs may be perceived as blanks by people using screen readers. After hearing \u201cblank\u201d several times, those users might think they have reached the end of the information. Instead, use formatting, indenting and styles to create whitespace.<\/p>\n\n\n\n<p>Try to use text format in the <em>Home<\/em> tab for creating accessible slide. You can also can use the pre-built slide templates.<\/p>\n\n\n\n<h2 id=\"avoid-image-watermarks\" class=\"wp-block-heading\">Avoid image watermarks<\/h2>\n\n\n\n<p>Images used as watermarks may not be understood by people with vision or cognitive disabilities. If you must use a watermark, make sure that the information it contains is also included elsewhere in your document.<\/p>\n\n\n\n<h2 id=\"use-closed-captions-for-audio-and-video\" class=\"wp-block-heading\">Use closed captions for audio and video<\/h2>\n\n\n\n<p>If you use additional audio or video components in a document, ensure that the content is available in alternative formats for users with disabilities, such as closed caption, transcripts or alt text.<\/p>\n\n\n\n<h2 id=\"use-the-accessibility-checker\" class=\"wp-block-heading\">Use the Accessibility Checker<\/h2>\n\n\n\n<p class=\"EDCPragraph\"><span lang=\"EN-US\">Just as a spelling checker identifies possible spelling errors, the Accessibility Checker in Word, Excel, and PowerPoint identifies possible accessibility issues in your Office file so you can fix these issues and make your content accessible to someone with a disability.<\/span><\/p>\n\n\n\n<p class=\"EDCPragraph\"><span lang=\"EN-US\">The Accessibility Checker checks your file against a set of possible issues that people with disabilities might experience in your file. Each issue is classified as an Error, Warning or Tip.<\/span><\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Error: An error is for content that makes a file very difficult or impossible for people with disabilities to understand.<\/li>\n\n\n\n<li>Warning: A warning is for content that in most cases, but not all, makes a file difficult for people with disabilities to understand.<\/li>\n\n\n\n<li>Tip: A tip is for content that people with disabilities can understand, but that might be better organized or presented in a way that would improve their experience.<\/li>\n<\/ul>\n\n\n\n<p>Fixing some issues might require you to change, reformat or update your content.
