General Information
- What are the consultation sessions about?

The Coordinated Accessibility Strategy (CAS) is a strategic framework that guides accessibility initiatives at Carleton. It is currently undergoing a renewal period. As we continue through this process, the CAS Renewal Working Group is seeking feedback on accessibility at Carleton to craft priorities and develop recommendations. The objective is to gather feedback on various topics related to accessibility at Carleton.
- Who can attend the consultation sessions?

There are different types of sessions:
- Open Sessions: These are available to faculty/staff or students.
- Closed Sessions: Available to students who identify with specific groups such as Indigenous students, international students, racialized students, and students with disabilities.
- Invite-Only Sessions: As requested by groups such as Labour Unions or Faculty Boards.
- What are the different ways to provide feedback?

There are three ways to provide feedback on the strategy:
- Participate in a consultation session (similar to a focus group).
- Send feedback via email to accessibilitystrategy@carleton.ca.
- Submit anonymous feedback through the online form on the consultation webpage.
- How many people can attend each session?

Each session will have a maximum of 15-20 participants to ensure effective group discussions and engagement.
- How do I register for a session?

Visit the consultation webpage, identify whether you are a faculty/staff member or a student, and select the appropriate session. You will receive a confirmation email with the session details and a Zoom link.
Session Details
- What if I need accommodations?

You can request accommodations during registration.
- How can I prepare for the session?

You will receive an email with the session details, including the questions that will be discussed, 2 business days before the session. This will help you prepare your thoughts and responses.
- What should I expect during the session?

Sessions are one hour long and will include group discussions. You will engage with other participants to share viewpoints. Closed captioning will be available, and the open sessions will be audio recorded for accessibility for the organizers and for efficiency in capturing the respective voices.
- Can I attend multiple sessions?

Yes, you can register for multiple sessions. Each session will have a unique Zoom link.
Technical Information
- Will AI note-taking be available?

No, AI note-taking features will not be available. However, Zoom closed captioning will be provided.
- Can I change my name during the session?

Yes, you can change your display name on Zoom before entering the session.
- Join a Zoom meeting
- On the Zoom in-meeting controls, click Participants.
- Hover your mouse over your name, then click the ellipses.
- Click Rename. A pop-up box will appear.
- In the pop-up box, enter your display name.
- Click Change.
- How do I join the session?

You will receive a Zoom link in your confirmation email.
Privacy and Data Handling
- How will the transcripts be handled?

Transcripts of the sessions will be stored securely on Carleton OneDrive and used for internal review and analysis. They will not be shared publicly and will be deleted once transcripts have been reviewed.
- What is the role of Artificial Intelligence (AI) in the consultation process?

AI may be used post-session to assist with thematic analysis after all identifying information has been redacted. This will maintain privacy for all participants. All findings will also be reviewed and validated by the CAS working group to ensure accuracy and inclusivity, especially for outliers and unique perspectives. AI will not be used during live sessions.
- How will you ensure my privacy during the session?

Participants can change their display names on Zoom. Additionally, any identifying information mentioned during the session will be redacted from the transcripts before analysis.
- Can I request to have my data deleted?

No, you cannot request to have your data deleted after the session. If there is something particularly sensitive that came up we will do our best to find and redact the information.
- How will the audio recordings be handled?

Recordings of the sessions will be stored securely on Carleton OneDrive and used for internal review and analysis. They will not be shared publicly and will be deleted once transcripts have been reviewed.
- How will my answers be used?

Your data will be used solely for the purpose of the Coordinated Accessibility Strategy (CAS) renewal. This includes analyzing feedback to improve accessibility strategies and practices.
