August 2023 Finance and Administration Newsletter

Message from Lorraine Dyke, VP Finance and Administration

I hope everyone had a great summer!

The start of a new school year is always a special time – with students returning to campus it provides a renewed energy to our community. Inevitably, it’s going to be busier on campus with more pedestrian and vehicular traffic, so please be patient as you move around, especially this month.

An annual tradition at this time of year is Ask Me campaign. Wearing a red Ask Me button is a signal that you are available to answer questions from people who are looking for general information and it’s a way to connect with new people on campus, while giving them a warm Carleton welcome. If you wish to order Ask Me buttons for your units or teams, please go here.

CU Spirit Fridays restart on Sept. 8 and to support this initiative, a sweatshirt has been purchased for all Finance and Administration staff. If you haven’t already done so, you can pick up your sweatshirt at the Student Experience Office, located in 430 Tory. The CU Spirit Day program is a collaboration within the Carleton community to promote Ravens spirit among students, staff, and faculty. Wear your Ravens gear every Friday from September – April to show your Carleton pride.

I am also pleased to announce that we are planning a Coffee Hour for Thursday, Oct. 5 and the Finance and Administration Strategic Plan will be officially launched at that time. A “Save the Date” notice will be placed in your calendars in the coming days.

Have a good start to the school year and I look forward to seeing you on campus.

Lorraine

Changes Are Coming to MFA and VPN for All Faculty and Staff

Microsoft Azure Multi-Factor Authentication (MFA) is replacing Duo MFA at Carleton. By the end of September 2023, all faculty and staff members must migrate themselves from Duo to Azure by visiting this page and following the migration steps. Learn more about this change. Following industry best practices, Azure uses number matching in place of “Yes” and “No” buttons. If accessibility issues prevent you from using the available authentication methods, please contact the Service Desk

Severe Weather Warnings

We are in peak season for thunderstorms, tornadoes and severe weather. When a storm is approaching, or a weather watch or warning is issued by Environment Canada, it’s important to seek shelter. If outdoors, relocate indoors to a safe, sheltered location. When indoors, the safest area to be is on the lowest level of the building within the most interior area. Stay away from windows, glass, as well as other hazards, such as fallen power lines and trees. To learn more about Carleton’s emergency procedures, visit the Emergency Management website or the Safety tab on the Carleton Mobile App.

Insurable Values Study - Risk and Insurance

The Insurable Values Study involves collaboration to ensure that our assets are well insured. The Office of Risk Management would like to thank everybody who helped with the project during the month of July.

Campus Safety Services Student Safety Patrollers

Campus Safety Services is excited to start this upcoming academic year with 38 Student Safety Patrollers (SSPs). Our SSPs are current Carleton University students who have completed an extensive onboarding period that covers a variety of topics including familiarizing themselves with the operations of Carleton University, learning our beautiful campus, understanding supports and resources, and engaging in more specific on the job training. We are incredibly thankful for the ongoing support of various community partners both internally and externally who help to prepare our students for such an important role.

The August SSP recruit training ended with a celebration at our Annual Welcome BBQ (and incidentally our 30 year celebration as a Special Constable service). Following the BBQ, it was “all-hands on deck” for Residence Move-In and Orientation Week where we joined other departments in welcoming students into the Carleton University community.

Sustainability Tip

Have you ever wondered where to sort your waste? While most items can seem self-explanatory, there are some that might make you wonder, “Hmm, does this belong in the landfill stream or a recycling stream?” Carleton’s Waste Wizard tool is here to help. Simply search for the item you want to dispose of, and the tool will tell you which stream to sort it into or other appropriate disposal methods. Just follow the guidelines and sort it out! It’s as easy as 1,2,3!
