Carleton Affiliate accounts are required for anyone who is NOT a current student, current full-time continuing employee or an alumni who require access to Carleton’s online systems and/or require physical access to buildings on campus. Affiliate accounts are temporary and created with a predetermined expiry date to a maximum of one year.

Examples of Affiliates include:

  • Contractors/Vendor/Service Technician
  • Visiting Academics (eg. Visting Scholars/Professors/Instructor/Researcher)
  • Casual Staff/Volunteer

Affiliate Account Requests

Roles

The following roles are required to set up an Affiliate account:

  1. Affiliate: the individual requiring access to Carleton’s IT systems or campus buildings, who are not current employees, students or alumni.
  2. Sponsor: a continuing Carleton employee, responsible for the Affiliate’s legitimacy and onboarding. Sponsors usually support administrative functions, including employee onboarding. Sponsors are responsible for managing approvals, extensions and cancellations for the affiliate.

The process starts with identifying a Sponsor. Sponsors should represent the department associated with the Affiliate or a supporting department helping with their onboarding. NOTE: if a Campus Card is required the sponsor must have or provide the proper level authority to approve card access (Dean’s Office, Director or Chair).

Sponsor Steps

Step 1: preliminary confirmation of access to the Affiliate Account Request Form

To start, the Sponsor should click here to confirm they have access to the Affiliate account Request form in Jira.

If the sponsor sees a screen similar to above and cannot view the form linked above, they can either:

  1. If they are a manager or departmental approver, submit a ticket to the ITS Service Desk requesting Access to the Affiliate Account Request form.
  2. If not, find someone in their department who has the access and can act as the Sponsor.

If the sponsor can view the form linked above, they continue to Step 2 below.

Step 2: collect the required data from the Affiliate

Email the Affiliate the following link: https://carleton.ca/technicalservices/affiliate-account-request/#affiliate and include instructions letting them know you are their Sponsor and need them to fill out the Affiliate Information form (below, linked to the included URL). Below is an example message you can modify to send.

Hi [Affiliate name],

I will be acting as your sponsor to facilitate helping you get a Carleton Affiliate account. To start, I need you to visit https://carleton.ca/technicalservices/affiliate-account-request/#affiliate and submit the Affiliate Information form. I will be following up with you once the account is created.

As the Affiliate, you should have been asked to visit this page to fill in the form below by a Carleton employee, acting as your sponsor. If you do not know who that is, you will not be able to request an Affiliate account and you will need to follow up with the department you are working with to identify your Sponsor.

After filling out the form, your request will be reviewed. If approved, you will be contacted by your Sponsor with next steps.
