CourseLeaf System Access Requests

Requests for access to the CourseLeaf system access must be authorized and submitted by the Academic Unit Chair or Director. Request types include new/modify or removal for viewers/submitters, approvers and/or related academic unit contacts.

Access for System Users

Faculty: All faculty members automatically have viewer/submitter access to CourseLeaf. Only those faculty members who should be assigned as an “approver” or a “related academic unit contact” as defined below need to request additional access.

Administrative Staff: Access to the CourseLeaf system for support staff must be authorized by the academic unit Chair/Director. Any staff member who is granted access will automatically have the ability to submit or view a proposal.

Role Definitions

Viewer/Submitter: A user who has access to the CourseLeaf system to view/submit proposals. Submitters initiate the workflow process when they “confirm and submit” a proposal.

Approver: An individual who has viewer/submitter/approver access and who will take action on a proposal (i.e. move it on to the next step in workflow, or roll it back to a previous approver or the submitter). All approvers will receive an email notification that there is a proposal pending action.

Designate Approver: An approver may select one or more designate(s) to act of their behalf. The designate then becomes an approver for that particular role and can perform the same functions as described above. Designate approvers will also receive an email notification that there is a proposal pending action.

Related Academic Unit Contact: The CourseLeaf system is able to identify units affected by changes proposed by sister units and can send FYI email notifications to the related academic unit contact(s). For example, if the History department is changing a course which is also listed as a Canadian Studies course, the related academic unit contact(s) specified for the School of Canadian Studies will be notified by email of the proposal.

Next Steps:

  1. Once the form is submitted a confirmation message will populate on the page.
  2. The requester will receive an email from CourseLeaf support requesting authorization of the access request.
  3. An email is sent to confirm that the access request has been processed and is effective at that point. The normal processing time is two business days.
