Long Distance for Researchers
Authorization for Voice Services Billing on Research Funds
As a researcher, you are permitted to charge your long distance billing to your research grant or contract providing the funding agency outlines the charge as an eligible expense. In some cases, the actual phone rental may also be eligible, but this is not generally the case. Prior to requesting any service, you may want to consult with your Research Fund Administrator in Research Accounting.
As of May 1st, 2009, to satisfy research compliance requirements, when you are requesting long distance or phone rental billing to be charged to a research grant or contract, you will need to fill out the Authorization for Voice Services Billing form and submit this to Voice Services prior to the service being activated.
After Voice Services receives and processes your request, they will forward the document to Accounting Services where it will be checked for appropriate signing authorities, available balances and eligibility, and maintained for future compliance visits or audits. If for any reason Accounting requires additional information, they will contact you.
For ongoing long distance and phone rentals being charged to a research grant or contract that were authorized prior to May 1st, 2009, Accounting Services will be sending out authorization forms in order to gather the required compliance information that is not currently on record. The form will be pre-filled with the required information, and will have a cover letter indicating the signatures that are required from you. We would appreciate if you could send this information back to Accounting Services as soon as possible.

ITS Account Calling Cards
Account Calling Cards are used by staff and faculty who need to make long distance calls from a phone on campus that has no long distance capability. Long distance charges will automatically be billed to the account given when registering for the calling card.
The administrator of the department should contact Voice Services to obtain an account calling card. The information needed is the person’s name, department and account number to which the long distance will be charged. There is no charge to get a card.
