Duties and Responsibilities:
The incumbent, under the supervision of the School Administrator and under the direction of the Director of The School Public Policy and Administration (SPPA), acts as confidential assistant to the Director, organizes and maintains a filing system for SPPA including School faculty, contract instructors, exchanges, visiting faculty, post doctoral fellows, director related issues, performs word processing of a variety of complex materials using WORD for the Director; organizes and maintains a database contact list comprising addresses, telephone and fax numbers and e-mail addresses pertaining to the operation of the Director’s office; supports SPPA’s Tenure/Promotions Committee meetings, ensures dossiers include candidates’ curriculum vita in the appropriate University format, a statement of research and produces an accurate statement of teaching; compiles designated course list for submission to the Dean’s office; processes and monitors payment travel expenses etc. Coordinates and organizes SPPA seminars, guest lectures, luncheons, Faculty Board Meetings, and monthly Management meetings. Acts as the first point of contact for students, faculty and visitor inquiries and deals with various senior officers. Manages the main phone line and responds to all general SPPA related emails Supports SPPA’s faculty appointments committee maintains applications, arranges interviews and luncheons, etc.; assists with the production of SPPA’s annual reports, OCGS reports.
