Approved Vendors and Contracts

approvedPurchasing Services, on behalf of Carleton University, has entered into competitively procured agreements with vendors of various standard goods and services. Where a negotiated agreement is in place, the vendors have an “Approved Vendor” status at the University.

Benefits of Using Approved Vendors

Approved vendors may provide competitive pricing, discounts and a variety of options to reduce overall costs to the University.  The vendors are engaged in legitimate business practices, and the ordering and payment processes have been vetted. Preferred Vendors and Vendors of Record have agreed to set Terms and Conditions, including service levels and payment terms, and the agreements add the security of knowing all transactions are compliant with Carleton University’s Purchasing Policy. Purchasing from Approved Vendors may eliminate the requirement of obtaining additional quotations.

Types of Approved Vendors

There are different types of approved vendors.  The vendor’s status is a reflection of the type of agreement the University has negotiated.  When reviewing the details of the contract, the commodity area and contract type will be noted.

Competitive Procurement Process

Carleton University aims to be collaborative in its approach to negotiating agreements for standard goods and services. Approved Vendors may have been selected from a City of Ottawa agreement, an Ontario Education Collaborative Marketplace (OECM) agreement, other agreements open to Broader Public Sector (BPS) organizations, or agreements resulting from a Carleton University-led competitive procurement process.

Carleton University-led competitive procurement’s are publicly posted in a fair, open and transparent manner. Teams composed of Faculty and Staff from across the University are involved in evaluating proposals received as part of the competitive procurement process. Proposals representing the best quality and range of products, level of customer service, delivery and potential cost savings are selected to become Carleton University’s  Approved Vendors.
