The TD1, Personal Tax Credits Return, is a form used to determine the amount of income tax to be deducted from your pay. Generally, the higher the claim amount, the lower the amount of income tax deducted each pay. There are Federal (TD1) and Provincial/Territorial (TD1ON for Ontario) TD1 forms.

You must complete these forms and submit them to Human Resources/Payroll upon starting your employment at Carleton.

If you live on residence during the school year, use your permanent home address when filling out the forms, even if it is an international address.

Yes, every person working in Ontario must fill out both TD1 forms – Federal (TD1) and Provincial (TD1ON).

You have to complete a Federal TD1 for regulatory purposes as prescribed by Revenue Canada if you are earning employment income.

If you are only claiming the basic personal amount for deductions, you are not required to complete a Provincial TD1ON form.

If you are eligible for any other Ontario tax exemptions (e.g. tuition and education amounts, disability amount), you must complete a TD1ON form and submit it to the Payroll office if you want less taxes to be deducted from your pay.

You must provide a valid off-campus permanent address to which a T4 can be sent for regulatory tax purposes. Otherwise, the T4 or T4A slip may not be sent to the correct address, or the slip will not be mailed at all until a valid address is provided.

Also, it is mandatory that you include your Social Insurance Number. If you do not have a SIN, you will need to get one from a Service Canada Office.

You only need to resubmit tax forms if you claimed anything more than the basic amount in the previous calendar year.

New employees do not need to provide proof of date of birth. Only temporary residents need to provide proof of SIN in the form of a letter of confirmation from Service Canada.

Be sure to indicate your date of birth and SIN on the Personal Tax Credit Return forms included in the employee documentation package.

If an employee does not fill out a TD1 or TD1ON, Carleton will deduct taxes after allowing for the basic personal deduction amount only. This may mean that the employee ends up paying more taxes than they are required to at the source, so it is in the employee’s best interest to fill out this form.
