Research Fund Payments
Payments for Research Assistants (RAs) are to be submitted and processed using one of the systems below. Which system to use depends on the student registration status of the Research Assistant, as well as the type of job/payment.
Please review the criteria below to determine which system to use in order to pay your Research Assistant.
Which system should I use?
Graduate Student Job Requisition System
Used When
- The RA is a graduate student and is registered in the term of payment, and
- The payment source comes from a research fund (funds starting with 18, 3, or 7)
Types of Jobs/Payments
- Research Assistant – Type A
- Research Assistant – Type B

Additional Notes
- For Type B payments, the student is required to accept the job by logging into the Graduate Job Requisition System in Carleton Central
- Deadlines to accept jobs and their corresponding pay dates can be found here
Payroll Profile
Used When
- The RA is not a Carleton graduate student, or
- The RA is a graduate student but is not registered in the term of payment,or
- The RA is a graduate student registered in the term of payment, and the payment source comes from an operating fund.
Types of Jobs/Payments
- Research Assistant – Type A
- Research Assistant – Type B
- Research Assistant – Other: A research assistant that is not a graduate student, or is a graduate student that is not registered in the term of payment.

Submission Process
- Log into the Carleton HR Intranet to access the Payroll Profile Form (Online)
- Identify the type of job/payment in the job title on the Payroll Profile (e.g. “Research Assistant – Type A”)
Additional Notes
- The student is not required to “accept” the job as they would if using the Graduate Job Requisition System
- Using this method may require the supervisor to report hours worked by filling out the Hourly Timesheet Submission Form

Clarification on Job/Payment Types
Type A
A Type A stipend is a fixed payment made to an individual registered in a graduate program. The individual shall be actively involved in the research of a faculty member in their related area of studies. It is not paid in exchange for quantifiable work performed, nor for financial gain. There are no deductions at the time of payment, and the individual will receive a T4A for the amount paid during the calendar year.
Type B
A Type B salary is paid when an employee/employer relationship exists and a quantifiable amount of work has been performed. Salary payments are subject to mandatory source deductions and will include 4% vacation pay, this type of income will receive a T4 denoting the total amount of employment earnings paid during the calendar year.
