Important Notes
You must ensure that your mailing address in the ‘Personal Information’ section of your Carleton Central account is up to date by the end of term in order to ensure that it is mailed to the correct address.
You can book an appointment to pick up your diploma at the Registrar’s Office. Otherwise, you can contact us via email at registrar@carleton.ca and we will retain your diploma for pick up at a later date.
Information for New Graduates
- When will my diploma be mailed out?
- Typically we will mail your diploma within 8 months of the Senate meeting (please note that dates are subject to change):
- Spring Graduation (June): by February 15
- Fall Graduation (November): by June 30
- Winter Graduation (February): by August 30

- What if I require proof of graduation before diplomas are mailed out?

- Request an Unofficial Transcript or Certificate of Enrolment via Carleton Central.
- The Unofficial Transcript will contain a notation that your degree has been awarded.
- The fourth option of the Certificate of Enrolment request menu is a letter that confirms your degree has been awarded.
- Both of these will be sent to your Carleton email address within 24 hours.
- What if I need a third party to pick up my diploma?

Complete a Third-Party Release form in advance to give them permission prior to pick-up. They will need to present photo ID. Visit the Release of Information to a Third Party page for more information.
- What if I have a balance owing on my student account?

- All graduation documentation will be withheld including your diploma, transcripts, and letters of confirmation certifying your graduation. The Student Accounts office offers several payment methods and are available at student.accounts@carleton.ca or call 613-520-3626.
- Unclaimed diplomas will be destroyed after two years, including those returned by mail or held due to a financial hold. After this period a student may request a replacement diploma instead.
- I have special characters in my name. How can I be sure these will appear on my diploma?

Display Diploma
- What is a display diploma?

- To order a display diploma, please complete the online order form, and ensure all supporting documentation accompanies your request.
- Unlike a replacement diploma, return of the original diploma is not required.
- How much does a display diploma cost?

Current pricing is $145.25 effective May 1, 2024. This price is subject to HST (HST #11883 8937 RT0001), and covers all handling and mailing charges. Delivery to an address outside of Canada must be arranged and paid for by the requester.
Payment can be made Visa, or MasterCard . Please allow 2-3 weeks for delivery.

- When can I expect my display diploma?

Processing typically takes 2 weeks. During peak Convocation seasons please allow 4 weeks for processing. Peak Convocation seasons are:
- Mid-May to the end of June
- Mid-October to the end of November
- Mid-January to the end of February
- How may my display diploma differ from the original?

Display diplomas are printed on 11×14 inch paper in portrait format. The signatures of the president and chancellor at the time of your original graduation will appear on the display diploma.
- Can I order a Display Diploma if I have an outstanding balance on my account?

Display diplomas will not be issued if there is any outstanding balance owed to the University. Please contact the Business Office.
- I changed my mind. Can I get a refund?

Purchases are non-refundable, with the exception of the institution not being able to provide the service.
Such refunds must be requested in writing via e-mail by the credit card holder. All refund requests must be made within 15 calendar days of purchase.
Refund requests must include the name of the credit card holder, customer and transaction number. Please do not include your credit card number in any refund requests. Refunds will be credited back to the original credit card used for payment. Please allow 28 days for processing.
Replacement Diploma
- What is a replacement diploma?
- If your diploma has been lost or damaged, or if your name has been changed under the regulations for the change of name process, you may purchase an official replacement diploma.
- How do I order a replacement diploma?

- To request a Replacement Diploma, complete the online order form, and ensure all supporting documentation accompanies your request.
- For lost or destroyed diplomas you must submit a “Statutory Declaration Form” (see the “Downloads” section at the bottom of this page) to the Registrar’s Office signed and sealed by a Notary Public, legally swearing the original diploma has been lost or destroyed.
- A Notary Public is a public official who can authenticate documents with a notarial seal. Most lawyers are also Notaries. A Notary Public is not equivalent to a Guarantor. Please contact a local law office.
- Return of the original diploma is required if the replacement is due to damage or an official name change.
- If the original lost diploma is found at any time the replacement diploma must be returned to the Registrar’s Office for cancellation.
- How much does a replacement diploma cost?
