The Senior Management Committee met on April 25, 2023, to review and approve several policies:

Acceptable Use Policy for Information Technology

Ensures reasonable steps are taken to protect Carleton University IT resources from malicious activity and inappropriate use, and that Carleton’s use of the internet does not adversely affect other organizations or individuals.

No notable changes.

Travel and Related Expenses

This policy sets out the conditions under which expenses incurred for authorized travel on University business by academic, administrative staff members, students and visitors to the institution will be reimbursed.

New language added requires individuals to obtain the approval of their immediate supervisor prior to any travel. The university is not obligated to reimburse an employee for travel (or other costs) that have not be previously approved.

Food Services Policy

This policy ensures the appropriate provision of food services at the University, guarantees that any continuing arrangement for the provision of food services at the University is authorized by the appropriate authority, and complies with all related requirements.

Applicability

  • All members of the Carleton University community, including the University’s employees, volunteers, students, and visitors.

Procedure

  • Events including functions for University employees that include on-site catering services up to $1000 (excluding taxes) must be acquired through an approved caterer participating in the Catering Vendor of Record program. Catering that exceeds $1000 (excluding taxes) must be catered by the Primary Food Services Contractor.
  • Exemptions may be granted on a per-event basis if the organization or person making the request obtains and maintains during the time the exemption is granted liability insurance in the amount of $5,000,000 for the service and provision of food for the time of exemption, with the University as one of the named additional insureds. A certificate of insurance must be provided to the Office of Risk Management.
  • Food service providers to indemnify the University from any liability flowing from the service and provision of food and that provider is responsible for complying with all applicable health and safety, licensing and permit requirements.

As an additional note, both the COVID-19 Mandatory Vaccine Policy and COVID-19 Mask Policy have been suspended until further notice, with the following clarification:

Vaccination

  • Although vaccinations are recommended as a way to reduce risks, reporting proof of vaccination is not required. cuScreen will no longer be available to upload vaccination documentation.

Masks

  • Masks are not required on campus. However, in line with other healthcare facilities, Health Services and the Sports Medicine Clinic may continue to require masks. Personal preferences regarding optional mask use will vary.
