Student Participation Agreement
ABBREVIATIONS:
ISEP: International Student Employment Program
SCOPE
The ISEP Participation Agreement applies to all international students actively participating in ISEP activities, inclusive of job search activities, advising and support while on a work term.
1. CONDITIONS OF PARTICIPATION IN ISEP
1.a. Eligibility
- I am legally entitled to work in Canada. I understand that international students studying at Carleton may be authorized by their study permits to do on and off campus work provided they maintain full-time student status. I understand the specific parameters of my study permit conditions and understand immigration regulations before starting work. I have connected with a licensed immigration advisor at the International Student Services Office for any questions pertaining to my eligibility to work in Canada.
- I understand that ISEP is for international students who are currently enrolled in studies at Carleton University.
- I agree to participate in all required activities within the ISEP program to maintain eligibility in the ISEP program.
- I understand that the ISEP team is able to communicate with the Career Services staff to best support my job search and work term participation. I understand that the Career Services staff may share information with the ISEP Team, Career Services staff, and other University departments to support my academic and career success at Carleton, within the context and aims of ISEP.
- I understand that any infractions will be reported to the Career Services management team.
- I understand that if I am found guilty of misconduct, I will be removed from the ISEP program.
- I understand that if I fail to comply with any of the conditions in this document and/or conditions outlined directly to me by the ISEP team, I could be withdrawn from the ISEP program.
- I understand that during the academic year (or when I am enrolled in more than two (2) courses per term), I am only eligible to participate in one (1) ISEP placement per academic term. I am aware that during the summer term, requests to participate in more than one ISEP placement will be reviewed on a case-by-case basis. I understand that the ISEP team may decline the request to participate in more than one placement for any reason.
2. WHILE ON A WORK TERM
2.a. Communication
- I agree to check my Carleton email account regularly for important notices from ISEP while working in an ISEP position.
- I agree to use my Carleton email account as the primary method for communication with ISEP.
2.b. Employer Rules and Regulations
- I agree to abide by rules, regulations, and policies set by the ISEP program and my employers.
- I agree to abide by ethical and legal guidelines, including but not limited to those concerning use of computers.
2.c. Conditions of Work
- I understand that I am required to work the hours agreed upon with my employer that will allow for the greatest level of learning and productivity.
- I will start and end my work term on the dates specified by my employer.
- I will inform my supervisor about any absences as per the workplace procedures and will notify the ISEP team as soon as possible of any situation, including illness, which necessitates my absence from work for more than three consecutive days.
- I will honour my commitment to the employer upon accepting any approved position.
2.d. Termination
- I understand that the Employer will have the right to terminate employment in accordance with applicable employment legislation.
3. DURING THE JOB SEARCH PROCESS
3.a. Use of Technology
- I agree to check MySuccess regularly for notices, job postings and events.
- I agree to check my Carleton email account regularly for messages from ISEP.
- I understand that all work opportunities must be approved by ISEP.
3.b. Applications
- I will not provide false or misleading information in my application documents.
- I understand that it is my responsibility to submit an updated resume which includes correct availability information.
3.c. Job postings and Work Term Positions
- I understand that ISEP will assist me in conducting a job search and obtaining a position. I understand that my ISEP experience may include career advising to support my career readiness, and that the Career Services advisors and/or counsellors may require me to attend regular check ins as necessary to support placement success.
- I understand that there is no guarantee that I will obtain an approvable position or that positions will meet my expectations.
- I acknowledge that the ISEP team reserves the right to limit the types of jobs to which I may apply.
3.d. Interviews
- I agree to be available for interviews during the job search process. I understand that it is my responsibility to attend interviews once they have been scheduled, and a date and time has been agreed upon by both parties.
- I will provide employers with factual and accurate information during interviews.
3.e. Release of Identity
- I authorize ISEP to share content from my intake and resume to relevant staff members of ISEP and/or Carleton University, and/or sponsors, and prospective employers as necessary to my participation in the program.
3.f. Acceptance of an ISEP Placement
- I acknowledge that once I have accepted an approved position, all conditions apply whether I obtained the position through my own efforts or through an ISEP job posting.
4. WORK TERM EVALUATION
4.a. Performance Evaluation
- I understand that the performance standards expected of me are no less than those that are expected of other employees.
- I understand that I am responsible for conducting myself in a professional manner while on an ISEP placement.
- I authorize the ISEP team to release information from my intake and resume to prospective employers at their request.
- I understand that following the completion of my placement term with ISEP, I will be required to evaluate the ISEP program and my designated employer/agency. I understand that this information will be anonymized to protect confidentiality.
5. OTHER
5.a. Confidentiality and Employer Contacts
- I agree to use discretion and maintain confidentiality when discussing my ISEP employers, their organizations and their customers or clients with anyone other than ISEP staff members.
5.b. Liability
- I agree that the university will not be held liable if I do not obtain an approvable position.
- I agree that the university will not be held liable for any agreements established or breached with my employer, including salary and benefits.
- I agree that the university will not be held liable for any expense, personal injury, or loss or damage of personal property arising while participating in the ISEP program, seeking employment or from my employment during a work term.
5.c. Voluntary Withdrawal
- I understand that the ISEP Program is voluntary, and that I may choose to withdraw from participation (which includes access to the ISEP job board and receipt of email notifications regarding upcoming events, job opportunities, etc.) by notifying the ISEP team in writing.
- I understand that if I choose to voluntarily withdraw from the ISEP Program, that I will not be able to participate in the Program for a minimum of one full semester. Re-entry to the Program is subject to review.
5.d. Terms
- If you do not understand all the terms of participation, please ask an ISEP staff member to clarify before agreeing with this form.
6. STUDENTS IN VIOLATION OF ISEP PARTICIPATION AGREEMENT
In addition to any sanctions that are specifically outlined in this document, students that do not adhere to the Agreement may also be subject to sanctions as identified in the Academic Integrity Policy and the Student Rights and Responsibilities Policy depending upon the infraction. Any breaches of the Agreement are handled in the first case by ISEP in accordance with the Agreement’s procedures. In instances where non-academic alleged misconduct in the workplace exceeds the provisions outlined in the Agreement, the Career Services management team may refer the student to the Office of Student Affairs, where the student’s alleged behavior will be addressed under the provisions of the Student Rights and Responsibilities Policy.
7. ACCEPTANCE OF ISEP PARTICIPATION AGREEMENT
I have read the ISEP Participation Agreement requirements, understand them, and agree to meet the conditions.
