Once Your Account Has Been Configured with Microsoft MFA:

  1. You can log into services as you normally would.
  2. Acknowledge the notification on your device by entering the on-screen number and selecting Yes to continue to log in.

How Often You Can Expect to Be Prompted

  • Microsoft MFA protected web services: each time you quit and restart your browser, or use a different browser you can expect to be prompted. Opening another web service from the same browser will not cause an authentication prompt.
  • Outlook application on your computer or phone: when you change your MyCarletonOne password.

What Should You Do if You Accidentally Enter the Wrong Number When Prompted?

  1. You will see the following message in the Microsoft Authenticator on your phone: The number you entered did not match. Select Ok.
  2. Your browser screen will display the following message: We’ve sent a notification to your mobile device but didn’t receive the expected response. Please try again. Select Use a different verification option.
  3. You will see a list of options. Select Send notification to my mobile app.
  4. Acknowledge the notification on your phone by entering the on-screen number and selecting Yes to continue to log in.

Q: Why is MFA now required for Carleton University students?
A: MFA adds additional protections to your account, helping to protect your email, files in your OneDrive storage, and messages and content in Microsoft Teams. After enabling MFA for all accounts, organizations and their users report a dramatic reduction in email spam, phishing, and scam messages.

Q: What if I would prefer to use a different authenticator app?
A: The Microsoft Authenticator app is recommended and supported by ITS, but you can register and use other authenticator apps if you wish (e.g. Google Authenticator, Authy, etc.). Support for alternative authenticator apps is limited to a best effort, and we cannot guarantee all authenticator apps will work.

Q: What should I do if I am unable to use an authenticator app, or require another kind of accommodation?
A: Please contact the ITS Service Desk to discuss the available options.

Q: After I set up MFA, how do I allow someone else to access my account?
A: Sharing your MyCarletonOne (MC1) account with someone else goes against Carleton University policies that are intended to safeguard your data and privacy. In many cases, access to services or data can be delegated to other accounts. Please contact the ITS Service Desk to discuss options for delegation.

Q: What if I lose/change my phone?
A: Please contact ITS Service Desk for assistance.

Q: Do I need internet access to set up MFA?
A: You will need internet access to install and register the Microsoft Authenticator app. Having internet access while using the app is preferred, as it provides the capability for the push notifications on your device, but it is not required. If you do not have internet access on your device, you can use the app to generate a 6-digit One-Time-Password that you can enter as your second factor for authentication.

Q: What if I am not comfortable downloading the app?
A: You can choose to use another authenticator app if you wish (e.g. Google Authenticator, Authy, etc.). Support for alternative authenticator apps is limited to a best effort, and we cannot guarantee all authenticator apps will work.

Q: Do I need MFA to access Brightspace?
A: MFA is not currently required for Brightspace, but it may be required at some point in the future.

Q: When is the deadline to set-up?
A: You will have fourteen days as part of the Soft Enrollment phase. Once fourteen days has passed and the Soft Enrollment phase has ended, you will be required to complete the MFA setup before accessing Carleton services.

Q: What if I click Sign-In instead of Scan QR Code during the MFA setup process?
A: You can tap on Cancel, which will return you to the What kind of account are you adding menu (Step 4 on Phase 2 of our documentation page) where you can select Scan QR Code.
