Requesting Access
Please complete the research labs, visitors, CI and CCSS access request form if you require access to a research lab or access to an office space. For rooms and offices that use keys, you will be required to provide a $25 deposit for the key.
Research Labs are used by the School’s faculty and their graduate students and researchers. You cannot use the space without prior approval of the faculty member.

Requesting Access
Please note that in most cases, access is granted automatically at the start of each term. Only fill this form out if the term has started and you have been denied access to the computer lab(s). An active student card is required for access.
Only computer science students, teaching assistants, or students taking a computer science course who do not have access to one of the above locations should fill out the undergraduate computer lab access issues form.
Please make sure:
- to check if the location you require is listed above.
- access is during public hours for the academic start and end term.
- check if the lab is scheduled to be open.
- your campus cards strip is not defective. A replaced card can be made by visiting the Campus Card Office

Student clubs and societies who wish to book space on campus, may do so through the Room Booking Portal:
- Room Booking Portal (you must login with your Carleton credentials at the top right of the page to submit a booking request):
- Under request type, select “Bookable Classrooms (Clubs)” for campus space.
- Societies or clubs must be an accredited campus group through the University or CUSA to request campus space. If you have questions, please contact the Student Experience Office at seo@carleton.ca

Please keep the following important information and deadlines in mind when submitting a booking request through the portal:
All events associated with Carleton University where one of the following conditions are met, must be supported by a Risk Management Form (RM). The RM form must be submitted a minimum of 14 days in advance of the event, which will ensure that your event is safe and notify the event organizer of any potential liabilities. If you have questions concerning the Risk Management form, please email risk@carleton.ca
- Scheduled activity occurring on or off campus
- Features a speaker
- Alcohol is being served
- A sports-like activity is planned
- Transporting students by means of chartered bus or rental vehicle
- Any activity that has the potential to result in damage to the individual person, or physical property
If a Risk Management Form is required for your event, the room(s) for your event can only be secured once you have received approval for your event by the Office of Risk Management. It is highly recommended that you fill out the RM form before or simultaneously with your room request.
For events where a Risk Management form is not required, your space booking request will typically be processed within five business days..
Room requests during the first 3-4 weeks at the start of each term are hard to accommodate. Room availability is limited due to classroom scheduling and changes. This may cause a delay in reviewing and approving requests. Room requests for the remainder of the term are processed up to 3 weeks in advance of the event date.
Room capacity must meet event size. For example, a request can be denied if the event is for approx. 15-30 attendees, and the room requests capacity seats 200.

For computer science events ONLY– a special request can be made to book a computer science meeting room, seminar room (HP5345) or Computer Science labs (HP3115, 4115, 4125, 4155,5151), please fill out the form below:
