Graduation: You’re almost there
Graduation is the culmination of your academic achievement and success. At Carleton University, we are proud of all of our graduands, past and present. If you have met your program requirements, or you are finishing up the final requirements for your degree, you should be congratulated on this important milestone.
In order to ensure that everything goes as planned between now and convocation, and that nothing hinders your plans to graduate, please make sure to review the information on this website very closely and carefully. If you have any questions about any of the information provided on this site, please contact the Registrar’s Office.
Graduation checklist
The last thing you want is for something to go wrong before graduation. In order to avoid any last minute barriers that might result in a delay to your expected graduation, or in your application being declined, please read through the following “checklist” topics carefully.
- Convocation Ceremony
DIPLOMA AND CEREMONY:
Complete details regarding the ceremonies, including the convocation schedule, will be available at the convocation website.
- Release of Transcripts, Diplomas, and Certification of Graduation

Do you have an outstanding balance on your student account, including tuition charges, library fines, etc.? The University has a policy in relation to the release of official documents confirming graduation. If you have a balance owing on your student account, all graduation documentation will be withheld including your diploma, transcripts and/or letters and confirmations certifying graduation. Fee payment options can be found on the Student Accounts website , any inquiries related to your student account should be directed to the Student Accounts office by email or by phone at 613-520-3626.
- The Right Stuff: Confirming your program elements and degree requirements

Avoid any last minute “surprises” by checking your program status and degree requirements.
All too often, potential graduates who think that they are on track to graduate find out at the last minute that they have overlooked something in their program status and/or degree requirements that ends up preventing their graduation. Identifying these discrepancies early can help prevent barriers to graduation.
PROGRAM STATUS: It is essential that you report any errors or discrepancies in your program status on your graduation application to the Registrar’s Office immediately as your application to graduate will be considered on the basis of the program that is listed on your application to graduate in Carleton Central. A Change of Program Elements application may be required. Please note that adding, changing or dropping a Minor or Co-op option is also considered a change of program element.
We will not consider any other element (i.e. minors, combined majors) that you MAY be eligible for unless it is added to your graduation program by the following deadlines.
- October 1 (for Fall graduation)
- February 1 (for Winter graduation)
- April 24 (for Spring graduation)
To determine whether you might be eligible to graduate with a program element that is not currently part of your student record – like a Minor, for example – you can run a “What-if” audit in Carleton Central to determine your eligibility. For help on running a “What-if” audit, please visit our myAudit page.
PROGRAM REQUIREMENTS: Make sure to check your audit in Carleton Central to make sure that all of your program and degree requirements have been – or will be – satisfied on time. You don’t want any unexpected setbacks later on.
At this time, your audit report should say “ALL REQUIREMENTS COMPLETED — IN-PROGRESS COURSES USED” or “ALL REQUIREMENTS IDENTIFIED BELOW HAVE BEEN MET” in Carleton Central. If your audit does NOT show one of these statements, then there are problems to be resolved and you should make an appointment with a departmental advisor right away.
- For the Record: Your registration and final grades

Once your degree is approved by the Senate of Carleton University, no appeals for changes to your academic record will be considered. If you have any questions regarding your official academic record, which includes course registrations and final grades, please contact the Registrar’s Office immediately.
- Deferrals or Appeals of Grade: Delayed graduation

If you have applied for a deferred exam, or if you have requested an appeal of grade, your graduation may be delayed.
Senate Regulations stipulate that an application to graduate will not proceed if you have any pending deferrals or appeals of grade for courses required for your degree. If you have outstanding deferrals or appeals of grade in progress on required courses, your application for graduation will not be approved.
- Graduating with Extra Credit?

Those with credits extra to their degree requirements who wish to designate specific courses as extra (especially undergraduate students taking graduate-level courses) must notify the Registrar’s Office in writing with their request by
- October 1 (for Fall graduation)
- February 1 (for Winter graduation)
- May 15 (for Spring graduation)
- Diplomas: Appearance, Pick Up and Mailing Address
Please note: The information below applies only to Undergraduate students – Graduate students seeking additional information should contact graduate.studies@carleton.ca.Appearance:
If your legal name contains special characters which you would like reflected on your diploma, or you would like your Chosen name to appear please complete Option #3 on the Name Change Request Form and submit it to registrar@carleton.ca from your Carleton e-mail account, no later than:
- October 1 (for Fall graduation)
- February 15 (for Winter graduation)
- May 15 (for Spring graduation)
Diploma name changes made after the deadlines listed above for the appropriate graduations, will be charged a replacement diploma fee.
Pick up:
Fall 2024: Your diploma will be available for pick up in the Registrar’s Office (300 Tory Building) starting on November 12, 2024. Our office will hold your diploma for pick up until the spring. Unclaimed diplomas will be mailed in June 2025.
Spring 2024: Your diploma will be available for pick up in the Registrar’s Office (300 Tory Building) starting on June 25, 2024. Our office will hold your diploma for pick up until the new year. Unclaimed diplomas will be mailed in February 2025.
Winter 2024: Your diploma will be available for pick up in the Registrar’s Office (300 Tory Building) starting on March 11, 2024. Our office will hold your diploma for pick up until the end of the summer. Unclaimed diplomas will be mailed in September 2024.
Please note diplomas will be sent via Canada Post, standard mail, to an address in North America. Students who reside outside North America must arrange for pick up.
To pick up your diploma, you must first book an appointment utilizing our QLess Line Management system.
Please bring valid photo identification to claim your diploma.
Third party pick up:
If a third party is picking up your diploma, you must first create a Third Party Release in Carleton 360 to authorize us to release the diploma to this person.
Please have your third party bring their valid photo identification and your student number to claim your diploma.
Mail out and Mailing address:
To ensure that there are no issues with diploma delivery, please update your mailing address in the ‘Personal Information’ section of your Carleton Central account.
- Graduation Application Results

You will be notified by email to your Carleton email account of the outcome of your application after the Senate meeting to award degrees takes place. The result will also be posted to your online graduation application.
If your application is unsuccessful (insufficient credits, low CGPA, etc.) then the Registrar’s Office will not recommend you as a candidate for graduation. This has no impact on your ability to apply for graduation in the future. If you wish to be considered for graduation at a later date, you must apply again. If your application is unsuccessful, you will be notified by email.
Please note the dates for submission of a graduation application:
- Spring from December 1 – April 1
- Fall from May 1 – August 31
- Winter from September 1 – November 30
