Graduation Information

DIPLOMA AND CEREMONY:

Complete details regarding the ceremonies, including the convocation schedule, will be available at the convocation website.

Do you have an outstanding balance on your student account, including tuition charges, library fines, etc.? The University has a policy in relation to the release of official documents confirming graduation.  If you have a balance owing on your student account, all graduation documentation will be withheld including your diploma, transcripts and/or letters and confirmations certifying graduation. Fee payment options can be found on the Student Accounts website , any inquiries related to your student account should be directed to the Student Accounts office by email or by phone at 613-520-3626.

Avoid any last minute “surprises” by checking your program status and degree requirements.

All too often, potential graduates who think that they are on track to graduate find out at the last minute that they have overlooked something in their program status and/or degree requirements that ends up preventing their graduation.  Identifying these discrepancies early can help prevent barriers to graduation.

PROGRAM STATUS: It is essential that you report any errors or discrepancies in your program status on your graduation application to the Registrar’s Office immediately as your application to graduate will be considered on the basis of the program that is listed on your application to graduate in Carleton Central. A Change of Program Elements application may be required.  Please note that adding, changing or dropping a Minor or Co-op option is also considered a change of program element.

We will not consider any other element (i.e. minors, combined majors) that you MAY be eligible for unless it is added to your graduation program by the following deadlines.

• October 1 (for Fall graduation)
• February 1 (for Winter graduation)
• April 24 (for Spring graduation)

To determine whether you might be eligible to graduate with a program element that is not currently part of your student record – like a Minor, for example – you can run a “What-if” audit in Carleton Central to determine your eligibility.  For help on running a “What-if” audit, please visit our myAudit page.

PROGRAM REQUIREMENTS: Make sure to check your audit in Carleton Central to make sure that all of your program and degree requirements have been – or will be – satisfied on time.  You don’t want any unexpected setbacks later on.

At this time, your audit report should say “ALL REQUIREMENTS COMPLETED — IN-PROGRESS COURSES USED” or “ALL REQUIREMENTS IDENTIFIED BELOW HAVE BEEN MET” in Carleton Central.  If your audit does NOT show one of these statements, then there are problems to be resolved and you should make an appointment with a departmental advisor right away.

Once your degree is approved by the Senate of Carleton University, no appeals for changes to your academic record will be considered. If you have any questions regarding your official academic record, which includes course registrations and final grades, please contact the Registrar’s Office immediately.

If you have applied for a deferred exam, or if you have requested an appeal of grade, your graduation may be delayed.

Senate Regulations stipulate that an application to graduate will not proceed if you have any pending deferrals or appeals of grade for courses required for your degree.  If you have outstanding deferrals or appeals of grade in progress on required courses, your application for graduation will not be approved.

Those with credits extra to their degree requirements who wish to designate specific courses as extra (especially undergraduate students taking graduate-level courses) must notify the Registrar’s Office in writing with their request by

• October 1 (for Fall graduation)
• February 1 (for Winter graduation)
• May 1 (for Spring graduation)

Appearance:

If your legal name contains special characters which you would like reflected on your diploma, please complete a Diploma Name Request Form and submit it to registrar@carleton.ca from your Carleton e-mail account, no later than:

• October 1 (for Fall graduation)
• February 1 (for Winter graduation)
• May 1 (for Spring graduation)

Special characters in a name include accents, raised characters and hyphens. The Diploma Name Change form is located in the Downloads section of this page.

Pick up:

Spring 2024: Your diploma will be available for pick up in the Registrar’s Office (300 Tory Building) starting on June 26, 2024. Our office will hold your diploma for pick up until the new year. Unclaimed diplomas will be mailed in February 2025.

Winter 2024: Your diploma will be available for pick up in the Registrar’s Office (300 Tory Building) starting on March 11, 2024. Our office will hold your diploma for pick up until the end of the summer. Unclaimed diplomas will be mailed in September 2024.

Fall 2023: Your diploma will be available for pick up in the Registrar’s Office (300 Tory Building) starting on November 8, 2023. Our office will hold your diploma for pick up until the spring. Unclaimed diplomas will be mailed in June 2024.

Please note diplomas will be sent via Canada Post, standard mail, to an address in North America. Students who reside outside North America must arrange for pick up.

To pick up your diploma, you must first book an appointment utilizing our QLess Line Management system.

Please bring valid photo identification to claim your diploma.

Third party pick up:

If a third party is picking up your diploma, you must first create a Third Party Release in Carleton 360 to authorize us to release the diploma to this person.

Once this is done, please have your third party book an appointment utilizing our QLess Line Management system and complete the cuScreen process ahead of visiting campus.

Please have your third party bring their valid photo identification to claim your diploma.

Mail out and Mailing address:

To ensure that there are no issues with diploma delivery, please update your mailing address in the ‘Personal Information’ section of your Carleton Central account.

You will be notified by email to your Carleton email account of the outcome of your application after the Senate meeting to award degrees takes place.  The result will also be posted to your online graduation application.

If your application is unsuccessful (insufficient credits, low CGPA, etc.) then the Registrar’s Office will not recommend you as a candidate for graduation.  This has no impact on your ability to apply for graduation in the future.  If you wish to be considered for graduation at a later date, you must apply again.  If your application is unsuccessful, you will be notified by email.

Please note the dates for submission of a graduation application:

• Spring from December 1 – April 1
• Fall from May 1 – August 31
• Winter from September 1 – November 30
