- Communications and Marketing Coordinator

Position Overview
The Communications & Marketing Coordinator (Umoja Black Community Engagement Program) is a student coordinator role on the Equity, Diversity, and Inclusion (EDI) team in the Student Experience Office (SEO) at Carleton University. The role is responsible for working with student associations and relevant stakeholders in the university in a relationship of solidarity to engage African, Caribbean, and Black (ACB) students to attend and participate in ACB centered events. The role is co-supervised by and reports directly to the Umoja Community Engagement Lead, and the Umoja Event and Operations Lead.
The ideal candidate is an upper year undergraduate student at Carleton University who is passionate about or involved in advancing opportunities for ACB students at Carleton’s campus and who has a background or extensive experience with communications and/or marketing. They must have academic, professional, or lived experience related to diversity, equity, inclusion and/or anti-Black racism. They must also have connections with ACB students and have previous experience with social media marketing, content creation, and community outreach.
Core Responsibilities
Social Media Marketing and Content Creation – (35%)
- Develop and/or update a communication & marketing strategy for the team
- Develop custom posters and poster templates as required by the team
- Develop Social Media templates for Twitter, Facebook, and Instagram in accordance with SL standards
- Develop short videos and event promotion materials
Manage Communication Tools & Design – 35%
- Resource Guides and Infographic design
- Manage content development and distribution of the Umoja Newsletter
- Provide website content as needed
- Design survey and feedback forms as needed
Event Support & Promotion– 25%
- Distribute event posters to designated locations on campus and with external partners
- Represent the team at tabling events with necessary promotional materials
- Take photos at events as requested
- Create and distribute after-event resources using Umoja brand-colors/aesthetic
Other Duties as Assigned – 5%
- Assist in collecting and transporting event supplies and materials to desired locations
- Support Umoja Team Members with priorities on an as needed basis
- Engage and participate in advisory committee meetings
Employability Requirements
- Upper year (3rd or 4th) undergraduate student at Carleton University who has a background or extensive experience with communications and/or marketing
- Enrolled as a student at Carleton University for the 2024-2025 Fall & Winter semesters
- In good academic standing (as defined in the Carleton University Undergraduate Calendar) at the time when the application is received and receive an ACE decision of Eligible to Continue (EC) throughout the duration of the contract
- Academic or professional experience as well as course or volunteer work related to diversity, equity, inclusion and/or anti-Black racism

- Ability to edit graphics from work produced by others
- Graphic design experience including the use of adobe software to develop marketing materials to be used across various social media platforms and print
- Experience in social media or digital communications to ensure content being created is up to date with current trends in terms of design, layout, and functionality
- Ability to read, write and edit content for the web with consistency and high attention to detail
- Ability to provide feedback to stakeholders to help identify improvements or alterations to graphic request submissions

Position Overview
The Community Engagement Lead (Umoja Black Community Engagement Program) role is a student leadership role on the Equity, Diversity, and Inclusion (EDI) team in the Student Experience Office (SEO) at Carleton University. The role will coordinate the development and execution of all community initiatives, including fundraising campaigns, educational partnerships, and advocacy for the Umoja Black Community Engagement Program. This role will co-supervise three coordinator roles along with the Umoja Events & Operations Lead.
The ideal candidate is a graduate student at Carleton University and self-identifies from the African, Caribbean, or Black community. They must have notable academic or professional experience related to diversity, equity, inclusion, and/or anti-Black racism. They must also have previous experience with event planning, administration, and team leadership.
The Community Engagement Lead will be responsible for the management of all duties related to stakeholder management. They must have strong organizational skills and be responsible for meeting deadlines and goals, as well as handling sensitive information from stakeholders. They must be a skilled communicator with the ability to build relationships with a wide range of stakeholders. The Community Engagement Lead will be a strategic thinker, with the ability to see the big picture and develop long-term plans. Finally, the ideal candidate will be a team player, with the ability to work collaboratively with team members to achieve common goals.
Core Responsibilities
Community Engagement – (40%)
- Develop and coordinate community engagement programs, initiatives, and resources
- Manage community outreach events and campaigns, including planning, logistics, budgeting, and execution
- Work with internal and external partners to identify opportunities for collaboration and resource sharing
- Serve as a liaison between the institution and various communities, promoting positive relationships and open communication
Research – (25%)
- Update knowledge on community groups for future collaboration
- Develop marketing and promotional materials for community engagement initiatives
- Identify and implement improvement strategies and best practices
- Collect data and feedback from participants in community engagement programs to assess the effectiveness and make necessary improvements
Stakeholder Management – (25%)
- Building and maintaining relationships with key stakeholders and members of the community
- Contributes to and helps implement plans to engage stakeholders and volunteers
- Responsible for ensuring data regarding stakeholders and events is current and accurate, including all data entry and information updates
- Keep abreast of trends and developments in the field of community engagement and share relevant information with team and other stakeholders
- Primary student contact for advisory committee meetings
Other Duties as Assigned – (10%)
- Perform administrative tasks related to community engagement program management, such as creating reports and maintaining records
- Attend community meetings and events as needed to represent the team
- Assist with special events and other activities

Position Overview
The Events & Operations Lead (Umoja Black Community Engagement Program) role is a student leadership role on the Equity, Diversity, and Inclusion (EDI) team in the Student Experience Office (SEO) at Carleton University. The role is responsible for the logistical development of all events for the Umoja Black Community Engagement Program. This role will co-supervise three coordinator roles along with the Umoja Community Engagement Lead.

The Events & Operations Lead will be responsible for the management of all duties related to events. They must have strong organizational skills and be able to assess event needs in order for events to be successfully executed from event ideation to event close out. In addition, the events lead will also be responsible for tracking the impact of events through different metrics and communicate with supervisor any important requests in a timely manner.
Core Responsibilities
Event planning and management – (40%)
- Attend all Umoja Events
- Facilitate event ideation, planning, and evaluations with Umoja teammates
- Develop event budgets and plans (for prizes, tech fees, room bookings, guest speakers, and supplies)
Logistics/operations – (25%)
- Complete Risk Management protocols for all events
- Complete Zoom, room, and tech support bookings as required
- Manage event volunteers
Communication – (25%)
- Manage event registration and communication with event participants before the event sharing event details and/or updates on changes in date, time, or venue for the event
- Create surveys and polls to track and report on event metrics
- Send thank you messages to speakers and contact prize winners with instructions for how to claim their prize
- Promote Umoja events within Carleton University Departments
- Maintain timely communication with guest speakers and performers
- Respond to email requests and inquiries
Other Duties as Assigned – (10%)
- Host and/or Cohost events
- Assist in collecting and transporting event supplies and materials to desired locations
- Lead team meetings and support team activities
- Engage and participate in advisory committee meetings

Position Overview
The High School Coordinator (Umoja Black Community Engagement Program) is a student coordinator role on the Equity, Diversity, and Inclusion (EDI) team in the Student Experience Office (SEO) at Carleton University. The role is co-supervised by and reports directly to the Umoja Community Engagement Lead, and the Umoja Operations & Logistics Lead.
The High School Coordinator is responsible for supporting African, Caribbean, and Black (ACB) youth in their transition from high school to post-secondary. The coordinator will work with Ottawa Catholic School Board (OCSB), Ottawa Carleton District School Board (OCDSB), and other youth-based or serving organizations to lead the development and delivery of Umoja’s mentorship programming and events targeted for ACB high school students. You will build a relationship of solidarity with school administrators, Black graduate coaches, and Black Student Associations to support ACB high school students. Your role is to engage partners and relevant stakeholders in the community in a relationship of solidarity to engage African, Caribbean, and Black youth to attend and participate at ACB centered events geared towards their academic success.
The ideal candidate is a third- or fourth-year undergraduate student at Carleton University who is passionate about or involved in advancing opportunities for ACB high school students. They must have academic, professional, or lived experience related to diversity, equity, inclusion and/or anti-Black racism. They must be able to form connections with ACB students and have experience serving on youth-led or serving organizations, event planning, event hosting, program development, and youth engagement.
Core Responsibilities
Youth Engagement – (40%)
- Develop a meaningful engagement strategy and implement and evaluate its success
- Develop ACB youth educational programing materials
- Facilitate ACB youth engagement meetings and follow up
