Flexible Work Arrangement (FWA) FAQs

Approval Process
- How do I request an FWA?

After discussing the FWA request with your manager, you will need to complete the Flexible Working Arrangement Request form.
- What is the support process if my request is denied?

You will need to complete the Flexible Work Arrangement Support form.
- Do we need to have a personal home situation, etc., in order to request an FWA?

No. We neither ask for a reason for your request nor does the reason play into its approval. FWAs are evaluated primarily on the effect they have on the operational requirements of the department.
Leave for caregiving, medical reasons etc. are not covered under this policy but may be available to you based on your specific situation. Please speak with Human Resources for more information about caregiving or medical leave.
- Are there any timelines for submitting the Flexible Work Arrangements request?

As there are multiple levels of review and approval for FWAs, we ask that speak to your manager early to see what the timeline for approval will be in your department. Typically, Human Resources asks that we have the approval for the FWA from your RPC Chair one month prior to the beginning of the arrangement.
- Can FWAs change week-to-week?

No. The remote work days and the hours of work must remain consistent throughout the period of the FWA; however, you can be required to work on campus on days you might normally be working remotely.
Flexible Hours
- I will not be working remotely but I would like to have flexible hours. Do I need to complete an FWA request?

Yes. Flexible Hour arrangements also require a formal FWA agreement.
Working Remotely
- Is work equipment (e.g. laptop or monitor) covered by the employer in case of any accidents while working from home?

For accidents that occur during the workday, replacement costs are covered by your department.
- Under a Hybrid Remote Agreement, how many days per week can I work from home?

You can work up to three (3) days per week at a remote location.
- What considerations are being made to keep Carleton data safe in transit or in remote locations?

All staff working remotely must adhere to Carleton’s information security and mobile device policies. Please visit the ITS Security website for details.
- What happens if we are asked to do someone else’s job so that they can have flexible work arrangements?

- Will my department provide me with a remote workstation?

Your department is expected to provide you with a suitable computer (e.g. laptop) and, if necessary, a phone for your remote workstation. You will need to provide a desk/chair and any other furniture or equipment for your remote workspace.

- Will there be discounted parking passes for employees who work a Hybrid Remote arrangement?
