“What is the Co-Curricular Record?”
The Co-Curricular Record is an official record designed as a means of recognizing all undergraduate and graduate students “out of class” involvement in student leadership development, extra-curricular activities and Carleton community service opportunities.
- Allows students the opportunity to record their co-curricular achievements over their years at Carleton
- Provides students with another tool to market themselves to prospective employers, graduate and professional schools
- Offers a volunteer directory where students can search for potential activities to participate in throughout the academic year
- Helps students identify developmental and leadership skills gained from “out of class” involvement
- Motivates and encourages student involvement at Carleton
- Empowers students by giving increased responsibilities as recognized activity organizers.
“How can students access their Co-Curricular Record?”
Students access their Co-Curricular Record accounts by logging on to Carleton Central. The Co-Curricular Record is located in “MySuccess” under the “Student Services” tab. Visit the Student Information page for more details.
“What do the important CCR terms mean?”
- Activity: Position or involvement opportunity
- Opportunity Directory: Allows students to find on-campus involvement opportunities of approved CCR experiences
- Activity Form: The online form submitted to have new positions approved to be included for the CCR
- Co-Curricular Record/CCR: An official university document that can be printed through your Carleton Central account that includes your extracurricular experiences
- Validator: The individual responsible for approving a student’s participation in the activity. This is generally a professional staff member, faculty member, or a designate from a club or society.
“Will students be able to add their activities from past years to their Co-Curricular Record?
No, activities are not retroactive from year-to-year. Students must add all activities completed during the current year. The last day for students to add activities to the CCR is Friday, April 27, 2018
“How do I print off my Co-Curricular Record and how often am I able to print it off?”
The instructions for this process is located on the Student Information page.
There is no limit to the amount of times a student can print off their Co-Curricular Records and records can be printed off once the student has graduated. Students can also choose to tailor their records by omitting certain activities before each print.
“How do activities become recognized?”
Activity organizers must fill out the Activity Form located on the Co-Curricular Record section of the MySuccess website. For instructions on to complete this, please visit the CCR Tutorial Videos and Resources page.
“What kinds of activities are recognized?”
Any activity on campus that lies within the following criteria:
- Primarily educational and/or service- related and non-transactional (no monetary exchange)*;
- Not required for academic credit;
- Accountable to a recognized Carleton University member (i.e. designated students, faculty or staff) who can validate information about the individual student role within the activity or a non-Carleton University member who has a MySuccess account (visit MySuccess to create an account);
- An activity where a student takes on a leadership role within an on-campus group or is in a leadership position that develops and implements activities, programs or events that are of service to the CU community;
- An activity where a student engages in a volunteer or community service initiative on or off-campus as an individual or as a member of an on-campus group and where that activity has an identifiable link with Carleton University.
*Any activity that has a salary component is recognized only if it meets the following criteria “An activity where a student takes on a leadership role within an on-campus group or is in a leadership position that develops and implements activities, programs or events that are of service to the CU community.”
If you are unsure if your activity meets the criteria, please contact the CCR Administrator. To submit a recognized activity not currently in the Co-Curricular Record opportunity database, please fill out the Activity Form, found in the CCR database.
“I worked at the University Bookstore. The activity criteria indicated that this is a “transactional” position. What does this mean and why won’t the Co-Curricular Record recognize this activity?”
A transactional position is any position where a student is employed in a service industry job that requires them to participate in the exchange of money for goods or service. This is paid employment. The Co-Curricular Record is designed as a means of recognizing student’s “out of class” involvement and most of this involvement is unpaid or honorarium based. Any activity that has a salary component is recognized only if it meets the following criteria “An activity where a student takes on a leadership role within an on-campus group or is in a leadership position that develops and implements activities, programs or events that are of service to the CU community.”
“Who are the validators and why does an activity require one?”
All activities submitted must identify the activity’s validator. A validator is a person who is responsible or affiliated with a group or activity and who can make a determination if a student has completed the activity. The validator role is a critical position within the Co-Curricular Record and can be filled by a faculty or staff member or a registered Carleton student who is acting in a leadership position.
“Will there be any training for validators?”
As soon as a validator’s activity is approved a training manual will be sent electronically to the new validator. The training manual will provide a step-by-step process of how to Validate activities. Additionally any validators can request to meet with an CCR ambassador to have additional assistance. “Why does the Co-Curricular Record ask students and validators to identify learning outcomes?”
Learning Outcomes are an important aspect of the Co-Curricular Record. They are used to identify the skills and personal growth areas students gain as a result of their co-curricular efforts. By identifying learning outcomes, students are encouraged to reflect on their experiences or make a determination of their skills or abilities that they utilized and developed during their experiences. This process of reflection promotes personal growth and prepares students to identify and speak of their experiences to others. Learning outcomes can also help guide programming. Activity organizers will find they are useful tools or indicators for individuals and groups who are developing an activity or who are assessing an initiative.
“How can staff and faculty become involved with the Co-Curricular Record?”
Staff and faculty are welcome to become validators for any activities they organize or where they perform in an advisory capacity. Staff and faculty can also encourage their students to seek extra-curricular opportunities and get them documented on a Co-Curricular Record.

“How can staff and faculty access their Co-Curricular Record accounts?”
All staff and faculty will only be able to use their accounts for validation purposes. To access their accounts all staff and faculty must log in through CUHire.
“I am an employer and a student has submitted a Co-Curricular Record along with their CV. How do I ensure this document is authentic?”
To check if the student’s record is authentic, visit the Co-Curricular Record website (www.carleton.ca/ccr) and select the “Verify a Record” tab. Type the authenticity code into the “Lookup Code” box. Each student’s record comes with an individual authenticity code. The authenticity code is found underneath the student’s name. If the website cannot confirm the record’s authenticity, please contact the Co-Curricular Record Administrator by e-mail ccr@carleton.ca.
“What measures have been built into the Co-Curricular Record to ensure that it is not misused?”
There are procedures have been created that will dissuade inappropriate use. Further, the Co-Curricular Record Administrator will have the ability to reject an activity applications that are suspect. All concerns of misuse should be brought to the attention of the Co-Curricular Record Administrator and will be investigated. If misuse is found, the situation will go before the CCR Resolution Board and the individual will receive sanctions that result in, for example, a student losing access to their Co-Curricular Record account for a period of time or indefinitely. “My validator says I have not completed the activity as required and will not be approving my Validation request. Can I appeal the decision?”
In the event a student disagrees with decisions made by their validator, she or he may appeal through the CCR Resolution Board. All students who wish to appeal must contact the Co-Curricular Record Administrator within 30 days of the denied validation. The Co-Curricular Record Administrator can be contacted by e-mail at ccr@carleton.ca. For more information, please visit the Policies page.
“I suspect a student group is submitting activities and/or approving validation requests of students who did not do the work to earn recognition for this activity. How do I report my concerns and how will the University address them?”
All concerns should be forwarded to the Co-Curricular Record Administrator by e-mail ccr@carleton.ca. All concerns will be investigated by The Co-Curricular Record Administrator and will remain confidential. If the concern is found to be justified and misuse is determined, the Co-Curricular Record Administrator and the Director of Student Affairs will bring this to the attention of the Co-Curricular Record Resolution Board who will determine an appropriate sanction.
